Responsibilities

Manages and schedules assigned staff
Develops goals and priorities, and assigns tasks and projects
Develops staff skills and training plans
Counsels, trains and coaches assigned staff
Implements corrective actions and conducts performance evaluations for staff
Provides leadership, direction and guidance to subordinates
Performs advanced administration and support work requiring detailed field-specific knowledge relevant department assigned
Requests information from and provide information to other departments and outside sources
Manages special projects as required
Researches scope of project, assigns resources, and monitors progress of assigned staff
Assists department and division managers with process analysis and developing production measures for improved efficiencies
Compiles and analyzes data
Prepares and processes special and recurring reports and administrative records
Completes, submits and tracks company forms such as travel/expense reports, check requests, company credit cards, purchase requests, and personnel action documents
Assures departmental alignment with corporate compliance
Functions as department liaison for activities and initiatives with other divisions and departments
Independently maintains department budget, investigating and documenting variances
Keeps records up to date and reports as required to Finance and own department leaders
Performs other duties as assigned or required

Required

Associate's degree in Business, Office Administration, or related field from an accredited college or university
Five (5) years of skilled office support experience
Knowledge of filing procedures
Knowledge of modern office management concepts and principles
Knowledge of project management and resource allocation techniques
Knowledge of general financial principles
Knowledge of applicable program regulatory requirements
Knowledge of customer services concepts and practices
Knowledge of multi-line telephone systems operation
Knowledge of privacy laws and regulations
Knowledge of basic purchasing processes
Skill in operating office equipment
Skill in effectively managing staff, and delegating tasks and authority
Skill in oral and written communication
Skill in assessing and prioritizing multiple tasks, projects and demands
Skill in maintaining and updating office and administrator schedules
Skill in establishing and maintaining cooperative working relationships with others
Skill in operating a personal computer utilizing a variety of software applications
Progressively responsible related work experience, education, or training may be substituted on a year-for-year basis for college education
May require experience specific to the department assigned
Some incumbents in this job class may be required to obtain specific technical certifications and programming language skills
