Executive Assistant, Cross-Company Marketing

Paramount is a leading global media and entertainment company seeking a highly organized and resourceful Executive Assistant to support the EVP of Cross-Company Marketing. The role involves providing comprehensive administrative support, managing executive priorities, and facilitating effective communication across the organization.

Responsibilities

Provide day-to-day administrative and coordination support for one senior executives, including calendar management, meeting scheduling, and travel arrangements
Anticipate and manage the executive’s priorities to ensure optimal time management and workflow alignment
Coordinate internal and external meetings, prepare meeting materials and agendas, and manage all follow-up communications
Draft, edit, and prepare correspondence, presentations, and reports with a high level of accuracy and professionalism
Manage expense reports and reconcile travel and entertainment expenses in accordance with company policy
Maintain organized electronic filing systems and department databases to ensure efficient information management
Track ongoing projects and initiatives, providing regular updates on progress and deadlines
Support preparation of presentations and creative materials using PowerPoint, Canva, and Adobe Creative Suite as needed
Act as liaison between executives, internal departments, and external partners to ensure effective communication and coordination
Assist with planning and execution of department events, off-sites, and cross-company marketing initiatives
Handle confidential and sensitive information with discretion and sound judgment
Perform additional duties and support special projects as assigned

Required

2+ years of experience providing administrative or executive-level support, preferably within a corporate, media, or entertainment environment
Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel)
Proven ability to manage complex calendars, prioritize competing demands, and meet deadlines
Demonstrated ability to exercise discretion and maintain confidentiality
Comfortable navigating and using social media platforms for professional and brand-related communications
Experience supporting senior executives
Strong written and verbal communication skills with a high level of professionalism
Excellent organizational skills and attention to detail
Strong interpersonal skills and the ability to build positive relationships at all levels of the organization
Ability to work both independently and collaboratively across teams and functions
Attention to detail and the ability to manage multiple priorities in a fast-paced, dynamic environment
A proactive mentality with the ability to anticipate needs and recommend improvements to processes and workflow
Ability to adapt to changing priorities and thrive in a fast-paced environment

Preferred

Bachelor's degree or equivalent experience preferred
Experience with Canva, Photoshop, Illustrator, or WordPress a plus
