Responsibilities
Manage new client intake, client communication, and timely responses to inquiries
Draft, proofread, and format estate planning, probate and trust administration documents independently
Maintain document management: calendaring, filing, scanning, copying and correspondence
Oversee firm billing and accounting tasks, including time entry and invoicing in Clio
Supervise and train legal assistants, set priorities, and ensure internal controls are followed
Schedule meetings, manage case deadlines and coordinate with courts and recorder’s offices
Greet clients professionally, answer phones, and help with daily office needs when required
Continuously learn and master our tech stack to improve efficiency and client service
Qualification
Required
Current Arizona Notary Public
Expert-level Microsoft Word skills (styles, formatting, tables, footers) and strong Outlook proficiency
Highly proficient in Clio for legal billing and client management; experienced in billing time
Strong written and verbal communication, excellent attention to detail, and dependable timekeeping
Ability to handle confidential information with discretion and maintain a professional appearance
Clean background and good financial standing
You must be tech savvy and comfortable working across multiple platforms
You will quickly learn and master Decision Vault, Clio, Adobe Pro, WealthCounsel, Microsoft 365 (advanced Word and Excel skills), Constant Contact, Stamps.com, and online probate court dockets and recorder systems
Preferred
4–7 years of paralegal experience in estate planning, probate and trust administration preferred
Proven supervisory or practice management experience with the ability to guide and motivate support staff
