Administrative & Credentialing Coordinator
The University of Kansas Health System is seeking an Administrative & Credentialing Coordinator. This hybrid role involves providing high-level administrative support and coordinating the credentialing and onboarding of medical staff at the Great Bend campus.

Responsibilities
Provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling appointments
Coordinates between several areas or with other organizations to schedule meetings and/or travel times that are convenient and accurate for all concerned parties
Duties include general clerical, receptionist, and project-based work
Must project a professional company image through in-person and phone interaction
Under the supervision of the Health System Director of Credentialing independently coordinates the credentialing and onboarding of physicians and allied health providers for professional staff membership and hospital privileges for the Great Bend campus
Provides administrative support for medical staff functions including credentialing applications and files, bylaws and policies and committee support
Serves as a resource for regulatory requirements for CMS, CIHQ and NCQA for delegated credentialing standards
Shows ability to perform well under pressure and demonstrates ability to multi task
Provides administrative support to others in the administrative office, exercising confidentiality, tact and diplomacy
Maintains assigned executives’ appointment schedules by planning and scheduling meetings, conferences, teleconferences and travel
Assists in managing policies and work instructions for compliance with regulatory standards and to improve the overall operation of the facility
Develops forms as needed and receives appropriate approval
Maintains office supply inventory by checking stock to determine inventory levels, anticipating needed supplies, evaluating new office products, placing and expediting orders for supplies, and verifying receipt of supplies
Greets and directs visitors as needed
Answering phones and routing calls or taking messages as appropriate
Composes, assembles and distributes materials (agendas, notices, minutes, reports, presentations, etc.) for meetings and submits to appropriate leader for review
Attends meetings and takes minutes as assigned
Performs and tracks follow up as needed
Prepares, scans, copies, and distributes documents and written correspondence as requested
Assists and provides coverage for team members when needed
Coordinates gathering of primary source documentation for new hospital-employed applicants (medical staff, APP, allied health personnel) to present to Credentialing Committee as directed by Medical Staff Affairs
Assists in implementing processes to adhere to regulatory requirements relating to credentialing
Regularly verifies compliance with CMS guidelines by checking for sanctions against Medical Staff members and alerting leadership of any sanction activity
Processes NPDB reports for initial, reappointments and when additional privileges are requested
Notifies appropriate internal and external parties of new provider numbers or providers that have resigned and relinquished staff status
Compiles and distributes quality information; enters demographic and credentialing data; forwards credentialing applications for approval; and prepares and mails congratulatory letters
Conducts all applicable practice licensure verifications, as well as background and reference checks in accordance with policy
Maintains credential files that contain confidential and protected information by securing physical documents and maintaining electronic documents in a secured centralized application
Queries demographic and statistical information and distributes data to requesting party
Performs daily projects for quality control to maintain regulatory standards and accrediting requirements and may facilitate accreditation survey processes
Qualification
Required
High School Graduate or equivalent
2 or more years administrative or clerical experience
Certified Provider Credentialing Specialist (CPCS) - National Association of Medical Staff Services (NAMSS) required within three years of hire
Preferred
Associates Degree from an accredited college or university
