Principal Technology Spec (IT Contracts and Procurement Admin)

The Information Technology (IT) Contracts and Procurement Administrator is responsible for managing IT contracts, overseeing procurement processes, and conducting cost analysis to optimize IT budgets and decision-making.

Responsibilities
Contract Drafting and Negotiation: Develop and draft IT contracts with vendors, including service level agreements (SLAs), software licensing agreements, hardware purchase agreements, and cloud service contracts, ensuring accurate terms and conditions are included
Contract Review and Compliance: Analyze proposed contracts from vendors, identify potential risks, and negotiate terms to protect company interests while maintaining compliance with legal regulations
Contract Management System: Utilize contract management software to maintain comprehensive contract records, track key milestones, and monitor contract performance against agreed-upon deliverables
Vendor Management: Establish relationships with vendors, manage communication, and address any contractual issues that may arise during the project lifecycle
Change Order Management: Review and approve change orders to existing contracts, ensuring proper documentation and financial implications are considered
Dispute Resolution: Facilitate resolution of contractual disputes with vendors by collaborating with legal teams and internal stakeholders
Risk Assessment: Identify potential risks associated with IT contracts and implement mitigation strategies to minimize exposure
Reporting and Analysis: Generate regular reports on contract status, key performance indicators, and potential cost savings opportunities
Collaboration with Internal Teams: Work closely with IT project managers, procurement teams, legal counsel, and business stakeholders to ensure alignment with project objectives and contract terms
Gathering IT requirements: Collaborating with IT users and stakeholders to identify and document technology needs, including hardware, software, and services
Vendor management: Researching and evaluating potential IT vendors, negotiating pricing, contract terms, and service level agreements
Purchase order creation: Generating and processing purchase orders for IT equipment and services, ensuring accurate specifications and delivery timelines
Contract management: Maintaining and monitoring IT vendor contracts, ensuring compliance with terms and conditions
Cost analysis: Tracking and analyzing IT procurement spending to identify cost-saving opportunities
Inventory management: Maintaining accurate records of IT assets, including tracking usage, lifecycle, and disposal
Compliance management: Ensuring adherence to company procurement policies, legal regulations, and data privacy standards
Supplier relationship management: Building and maintaining strong relationships with key IT vendors
Reporting and analysis: Generating reports on procurement activities, including spending trends and vendor performance
Stakeholder communication: Communicating procurement updates and status to IT users and management
Cost Tracking and Analysis: Monitor and analyze IT expenses across different categories like hardware purchases, software licenses, network maintenance, and staff costs. Identify variances between budgeted costs and actual spending, investigating the root causes and proposing corrective actions. And develop cost models to estimate future IT project expenses and potential cost savings
Budgeting and Forecasting: Collaborate with IT leadership to develop and maintain accurate IT budgets. Prepare detailed budget forecasts based on historical data and anticipated IT needs. And analyze budget variances and propose adjustments as necessary
Performance Reporting: Generate regular reports highlighting key IT cost metrics (e.g., cost per user, cost per project). And visualize data through dashboards to provide insights into cost trends and areas for improvement
Cost Optimization Strategies: Identify potential cost reduction opportunities through vendor negotiations, contract optimization, and resource utilization analysis. Evaluate new technologies and their impact on IT costs. And recommend cost-effective solutions for IT projects and initiatives
Collaboration and Communication: Work closely with IT project managers, system administrators, and business stakeholders to understand their cost needs. And communicate cost analysis findings and recommendations to IT leadership and other decision-makers
Qualification
Required
Bachelor's degree in business administration, law, or a related field is required
15+ years of work experience in a related field
10+ years of work experience in IT contract management, procurement management, and/or cost management, preferably within a corporate environment
Familiarity with contract management software
Proficiency in procurement software: Familiarity with ERP systems and procurement tools
Proficiency in data analysis, financial modeling, and interpreting complex data sets
Financial knowledge: Understanding of accounting principles, budgeting, and cost management practices
IT expertise: Familiarity with IT infrastructure, systems, and common IT terminology
Legal Knowledge: Understanding of contract law, legal terminology, and ability to interpret complex contractual clauses
IT Expertise: Familiarity with IT infrastructure, software licensing, cloud services, and industry standards
Negotiation Skills: Proven ability to negotiate favorable terms and conditions with vendors
Strong Analytical Skills: Ability to assess contract risks and potential impacts on the business, analyze data, and identify cost-saving opportunities
Communication Skills: Excellent written and verbal communication to clearly convey contract terms and address concerns
Organizational Skills: Ability to manage multiple contracts simultaneously and maintain detailed records
Technical knowledge: Understanding of IT hardware, software, and network infrastructure
Procurement expertise: Familiarity with procurement processes, including sourcing, negotiation, and contract management
Attention to detail: Ensuring accuracy in purchase orders, contracts, and inventory records
Project management skills: Ability to manage multiple procurement projects simultaneously
Technical skills: Expertise in Microsoft Excel, data visualization tools, and financial software
