Order Entry Specialist / Receptionist ($24-29/hr)
Ultimate Staffing is seeking an Order Entry Specialist / Receptionist to provide essential support to sales and accounting functions. This role involves accurate customer account setup, order processing, invoicing, and assisting with B2B customer service and administrative tasks while serving as the first point of contact at the front desk.
Responsibilities
Set up and maintain customer accounts in the ERP system with accuracy and completeness
Generate and upload daily invoices to customer portals; manage multiple vendor-facing portals for invoicing and purchase orders
Assist with B2B customer service, collections, and provide support for purchasing and accounts payable as needed
Perform sales order entry and order tracking via phone, email, and fax
Apply advanced payments and credit holds when appropriate
Maintain organized filing of sales orders and related documentation
Handle receptionist duties, including answering phones (minimal foot traffic ensures limited distractions)
Qualification
Required
Minimum 2 years of experience entering sales orders and accounting documents into an ERP system and resolving discrepancies
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Strong verbal and written communication skills
Ability to multitask, meet deadlines, and maintain exceptional attention to detail
Professional demeanor and proven team player with a customer-focused mindset
Preferred
Prior experience in sales support highly desired
Experience with MRP/ERP systems preferred (Made-to-Manage experience is a plus)
