Responsibilities
Office Management: Serve as the first point of contact (phone, email, in-person), manage communication flow, and maintain organized, confidential physical and digital client files
Financial Support: Process client deposits and assist with basic bookkeeping and accounting tasks using QuickBooks
Workflow Coordination: Coordinate staff schedules, monitor project progress, and support drafting personnel with workflow management
Permit & Submittal Expertise: Prepare, assemble, and submit complete construction document packages to local Authorities Having Jurisdiction (AHJs)
Track submittal progress , follow up on plan check comments, and coordinate required revisions efficiently
General Support: Ensure smooth day-to-day office operations and provide necessary general administrative support
Qualification
Required
Extensive professional office experience, preferably within the architecture, engineering, or construction industries
Proficiency in Microsoft Office Suite, Adobe Acrobat, and QuickBooks
Strong practical familiarity with local AHJs and their specific submittal procedures
Fundamental understanding of construction documents and architectural project workflows
Exceptional written and verbal communication skills
Highly organized, detail-oriented, self-motivated, and capable of thriving in a busy office environment
Preferred
Direct experience in an architectural firm or supporting design professionals
Hands-on involvement with permit processing or plan check submittals
