OOBE Program Coordinator

The OOBE Program Coordinator will support the BMW account by managing daily operations, customer communication, order processing, and program workflows, ensuring exceptional customer experience and seamless project execution.

Responsibilities

Serve as a primary point of contact for BMW Manufacturing, BMW North America, and internal operational teams, managing inquiries, orders, special requests, and escalations
Support the Program Manager by gathering, analyzing, and organizing data for weekly and quarterly customer meetings, presentations, and strategic communications
Enter and manage orders in Microsoft Navision, including special requests, returns, credit memos, invoices, and troubleshooting order issues
Maintain BMW program websites, ensuring accurate product information, pricing, homepage updates, and coordinating with IT to resolve issues or improve user experience
Communicate new product developments, changes, and project updates across internal teams, ensuring alignment and timely follow-through
Document and track project activity, WIPs, and meeting notes in PODIO, ensuring accurate action items and seamless cross-functional coordination
Lead or support new product launches, marketing initiatives, and promotions designed to drive program engagement and sales performance
Partner with the Sr. Program Manager and Vice President of Programs to evaluate and improve C4 customer service processes and program workflows
Travel as needed for client meetings, apparel fittings, on-site support, and other customer-facing engagements
Consistently deliver exceptional customer service and identify opportunities to enhance the BMW client experience

Required

Bachelor's degree, preferably in Business or a related field
Excellent written, verbal, and interpersonal communication skills
Strong conflict resolution and problem-solving abilities
Proven project management skills, with the ability to manage complex, multi-step processes accurately and efficiently
Solid analytical skills, with an understanding of business fundamentals and exceptional customer service principles
Proficiency in Microsoft Office Suite
Ability to travel 5–15% as needed
