Accounts Payable and Receivable Officer
Crown Affair is a haircare brand that empowers individuals to redefine their relationship with their hair. They are seeking an ambitious Accounts Receivable & Payable Officer to oversee the company’s receivables and payables cycle, ensuring timely invoicing, collections, vendor payments, and reconciliations.

Responsibilities
Process vendor invoices in bill.com and ensure proper approvals
Assist with new vendor setup (i.e. obtaining W-9’s)
Follow up with internal stakeholders to obtain timely invoice approvals and resolve coding discrepancies
Schedule and execute weekly payments in line with company policies
Maintain accurate records of all payables transactions
Input inventory related invoices into inventory system (cin7) while maintaining 3-way match process
Process annual 1099-NE tax forms for external contractors
Assist with monthly vendor reconciliation of Accounts Payable Aging and investigate & resolve discrepancies
Manage company expense reimbursement and credit card portal (Ramp)
Review outstanding AR weekly and follow up with customers to ensure timely payment
Prepare and submit invoices for EDI customers
Record customer payments and reconcile AR balances
Maintain positive relationships with customers while ensuring timely collections
Generate and send wholesale invoices through QuickBooks Online (QBO)
Escalate collections issues to upper management as necessary
Assist with month-end closing activities, including reconciliations and reporting
Support cash flow forecasting by providing AR/AP insights
Ensure compliance with internal controls and accounting standards
Collaborate with cross-functional teams (operations, procurement, marketing) to streamline financial processes
Work closely with the Senior Accountant to assist with ad hoc requests
Qualification
Required
Bachelor's degree in Accounting, Finance, or related field (or equivalent experience)
2–4 years of experience in accounts receivable/payable, preferably in startup environments
Strong knowledge of accounting principles and financial reporting cycles
Proficiency in QuickBooks Online and Microsoft Excel
Excellent organizational skills, attention to detail, and ability to manage multiple priorities
Strong communication and interpersonal skills for vendor and customer interactions
Flexibility to adapt to evolving processes and willingness to contribute to building scalable financial systems
Preferred
Experience with a manufacturing company and inventory purchasing a big plus
Experience in cin7, Ramp, bill.com a plus
