Responsibilities
Assist the Director of Operations with day-to-day operational tasks, including project coordination, workflow management, and process documentation
Track deadlines, deliverables, and follow-ups across multiple teams and initiatives
Help streamline and improve internal processes to enhance organizational efficiency
Coordinate meetings, prepare agendas, and capture/distribute meeting notes
Support special projects and initiatives as assigned by the Director of Operations
Anticipate office and organizational needs and proactively resolve issues before they escalate
Serve as the primary point of contact for day-to-day office operations, ensuring a well-organized, efficient, and welcoming work environment
Oversee office administration, including supplies, equipment, vendor relationships, and facility needs
Coordinate onboarding and offboarding logistics, including workspace setup, equipment, access, and internal communications
Be a problem-solver: find solutions, escalate when necessary, and follow up to ensure resolution
Act independently, take ownership of tasks, and follow through to completion
Handle confidential and sensitive information with discretion and professionalism
Support the President & CEO as the primary professional and personal assistant
Manage complex calendars, email inboxes, travel schedules, and high-priority tasks with strict confidentiality
Support special projects, strategic initiatives, and executive-level planning activities
Serve as a trusted liaison and representative for the President & CEO in communications, scheduling, and interactions with internal and external stakeholders
Perform daily personal support tasks, including errand running, organizing household needs, and coordinating personal scheduling
Transport children to activities, appointments, or school as needed; maintain clear communication with parents on schedules and logistics
Coordinate and supervise vendors, household maintenance, and service providers
Provide care for two non-shedding dogs, including feeding, walking, appointments, and general well-being
Maintain household organization, inventory, and preparedness for daily and upcoming needs
Deliver consistent, reliable, and detail-oriented support in a fast-moving environment
Proactively anticipate needs, solve problems independently, and manage multiple shifting priorities with confidence
Qualification
Required
Previous Executive Assistant experience in a fast-paced environment is required
Local to Winston-Salem, NC, with the ability to work onsite/travel when needed (this is a hybrid position)
Strong organizational skills with high attention to detail
Excellent written and verbal communication skills
Ability to juggle multiple priorities while staying calm and proactive
Strong problem-solving skills with a habit of identifying issues early and proposing solutions
Skilled at identifying opportunities to improve processes, organization, or communication
Natural ability to create structure, plan ahead, and stay ahead of deadlines
Proven track record of thinking several steps ahead to keep executives organized and prepared
A 'no task too big or small' mindset
Formal training, a bachelor's degree, or higher education is required
