Production Administrative Assistant

Metals USA is a solid, growth oriented aluminum/stainless steel distribution center servicing the defense, aerospace and fabrication industries. They are seeking a Production Administrative Assistant to coordinate work orders and manage production documentation while ensuring accurate status reports and effective communication across departments.

Responsibilities

Coordinates the distribution of work orders, material & pertinent information to expedite the flow of materials through the various departments to fulfill production schedule
Compiles and prepares documentation related to production sequence, material movement, machine schedules, vendor services and repair orders
Compiles data/information, such as production rates and progress, schedules updates, materials used and customer information to ensure that status reports are accurate
Coordinates with department supervisors and others to assess progress and discuss changes. Distributes production schedules and work orders to department leads
Provides documentation and information to account for production delays, difficulties, and changes to shipping schedules. Assists in resolving any administrative problems within the Production Department
Examines documents for discrepancies in quantity and description, and reports problems to management in a timely manner
Maintains electronic and hard copy filing systems
Works independently performing data entry, copying, and faxing, scanning and general clerical duties

Required

High School Graduate or Equivalent
Prior clerical experience in an industrial manufacturing environment
Ability to interface effectively with all departments to foster a success-oriented, deadline driven organization
Ability to prioritize workflow and projects
Ability to adapt quickly to change and work under tight deadlines; must be able to work in fast paced environment for extended period
Good analytical & organizational skills and dedication to completing projects in a timely manner
Must have mechanical aptitude and good math skills
Ability to adhere to standard office practices and procedures to include filing, customer service, attention to detail, organizational management, and time management
Ability to communicate both oral & written effectively with both internal & external customers
Ability to demonstrate professionalism & diplomacy to include telephone etiquette
Computer Literacy to include Microsoft Office Products and ERP
