Responsibilities

Monitor inbox throughout the day, escalating time-sensitive items
Delete junk mail and organize messages for clarity
Draft, proof, and send correspondence on behalf of the principal
Compose follow-up notes and maintain professional communication standards
Answer and respond to calls coming into the team’s main line
Route calls appropriately and ensure messages are relayed promptly
Schedule, confirm, and adjust appointments as needed
Coordinate meetings, property showings, and personal commitments
Anticipate scheduling conflicts and manage priorities efficiently
Maintain and update client and vendor information in Salesforce CRM
Ensure data accuracy and categorize contacts for marketing and outreach
Assemble digital and physical client folders for new and active listings
Update and organize forms, disclosures, and marketing materials
Use DocuSign to send, track, and organize client signatures
Assist with project tracking, listing preparation, and vendor coordination
Run occasional errands and support office logistics as needed
Maintain confidentiality and professionalism at all times

Required

Bachelor's degree or equivalent experience
Proven experience as an executive or administrative assistant
Basic knowledge of residential real estate sales is helpful but not necessary
This is not a sales position and does not require a real estate license
Exceptional written and verbal communication skills
Tech-savvy with proficiency in Microsoft Office, Google Workspace, and CRM systems (Salesforce experience a plus)
Highly organized, reliable, and capable of juggling multiple priorities
Positive, solution-oriented, and able to anticipate needs before being asked
