The MB Group, LLC is a growth-oriented CPA firm in Austin, TX seeking a dependable and professional Administrative Assistant / Bookkeeper. The role involves providing daily administrative support to leadership and performing bookkeeping tasks for both internal and client engagements.

Responsibilities

Greet clients and visitors with professionalism and warmth
Scan, copy, and verify tax documents
Support tax staff with administrative tasks as needed to meet deadlines
Schedule and organize meetings, including sending reminders and arranging catering when necessary
Manage executive calendars, appointments, and priority items
Develop familiarity with clients, their needs, and communication preferences
Manage incoming and outgoing mail, including periodic postal deliveries
Support office technology operations by handling simple IT tasks such as printer/network setup and device connectivity
Work closely with our third-party IT provider as the designated on-site liaison to report issues, facilitate access, and ensure efficient problem resolution
Assist with general office administration and provide excellent customer service to internal and external stakeholders
Complete bank reconciliations and annual bookkeeping for multiple client files using QuickBooks
Review and enter brokerage statements and related financial data
Spend one day per week onsite at a nearby client location providing routine bookkeeping support
Support private foundation administration, including check-writing, entering financial transactions, and updating monthly brokerage information
Communicate with nonprofit organizations to obtain required donor acknowledgment letters and ensure compliance with documentation standards
Maintain accurate, organized, and timely financial records

Required

5+ years of experience accounting
QuickBooks expertise required
Ability to maintain confidentiality and manage sensitive information
Highly organized with strong attention to detail
Ability to learn client-specific workflows and adapt to varying expectations
Strong written and verbal communication skills
Ability to read and interpret legal or technical documents for accuracy and relevance
Ability to manage multiple projects, deadlines, emails, and calls in a fast-paced environment
Willingness to perform onsite bookkeeping for clients as needed

Preferred

QBO experience preferred
Bachelor's degree in Accounting preferred
QuickBooks: 5 years (Preferred)
