The Executive Assistant will provide high-level administrative support to the EVP of Domestic Distribution, ensuring efficient office operations and effective communication with internal and external partners.

Responsibilities

Schedules and manages EVP’s calendar including the coordination of meetings with multiple participants (internal and external partners)
Screens and responds to incoming calls and correspondence
Support EVP in strategic priorities and monitor and prioritize incoming requests, ensuring timely responses and follow-ups
Anticipate executive needs and proactively resolve scheduling conflicts or operational bottlenecks
Arranges travel plans and itineraries and compiles documents and expenses for travel-related meetings
Arranges meetings or conferences by arranging conference rooms, issuing meeting requests or invitations and coordinating handouts
Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings
Composes and prepares confidential correspondence, processes expense reports and performs invoicing for a variety of different areas
Coordinate and support all administrative duties in the office
Other ad hoc duties as required

Required

3+ years of administrative experience supporting senior executives; entertainment industry experience strongly preferred
Excellent organizational skills and detailed oriented
Proficient with software including Outlook, Word, Excel, PowerPoint and Google Docs
Ability to maintain confidentiality regarding issues or information received

Preferred

Bachelor's Degree or equivalent experience preferred
Upbeat, friendly, self-starting, positive
Ability to multitask and adapt in a fast-paced environment
Good relationship building skills
Excellent written, verbal, and interpersonal skills with the ability to collaborate with staff, other administrators, internal and external customers and senior management
