Administrative & Office Assistant

webAI is pioneering the future of artificial intelligence by establishing a distributed AI infrastructure. The Administrative & Office Assistant will manage day-to-day office operations, ensuring a welcoming environment and supporting various administrative tasks.

Responsibilities

Maintain an organized, clean, and welcoming office environment
Order, track, and manage office supplies and equipment
Ensure office equipment is functioning properly and coordinate repairs as needed
Oversee workspace setup for new hires and ensure employees have the tools they need
Assist with office layouts, reconfigurations, and space planning
Greet and welcome guests and clients upon arrival
Prep office and conference rooms for client meetings
Coordinate with the Executive Assistant to support client meeting planning
Assist with company events, team gatherings, and hospitality needs

Required

Bachelor's Degree in Business Administration, Business Management, Communications, or related field
2+ years of administrative or office support experience
Proficiency in Google Workspace
Familiarity with productivity and note-taking tools (e.g., Notion)
Experience with scheduling and calendar management
Ability to manage office supply ordering, inventory, and vendor coordination
Ability to lift and or carry up to 50 pounds on a regular basis
Strong written and verbal communication skills
Excellent organizational skills and attention to detail
