Branch Administrator
W.W.Williams is a company looking for a Branch Administrator to perform various office administrative duties. The role includes answering phones, reconciling cash accounts, assisting in warranty administration, and providing clerical support.
Warehousing
Responsibilities
Answers and screens all incoming calls and directs them to the appropriate person, taking accurate messages when necessary
Greets all visitors and conducts them to the appropriate area or person
Balances Support Centers cash account such as the daily OEROB, petty cash, and bank statements
Processes Support Center's Accounts Payable by opening purchase orders, forwarding invoices to accounting, designating accounts to be charges for all invoices requiring the information, preparing freight bills for payment
Orders and maintains supplies, and arranges for equipment maintenance
Administers personnel-related matters at the Support Center to include preparing new hire paperwork, updating and maintaining files and computer records of new and existing employees, and orienting new employees on their first day of employment
Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer, when applicable
Assists in the administration of warranty claims by reviewing reports to determine problems, correcting problems when possible, and providing backup to support claims to comply with suppliers' procedures
Composes and types routine correspondence, and makes copies of correspondence or other printed materials
Organizes and maintains file system, and files correspondence and other records
Arranges and coordinates travel schedules and reservations, when necessary
Prepares outgoing mail and correspondence, including e-mail and faxes
Qualification
Required
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience
Ability to read and comprehend simple instructions, short correspondence, and memos
Ability to write simple correspondence
Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
Ability to deal with problems involving several concrete variables in standardized situations
Knowledge of Microsoft Word and Excel, UltiPro Human Resource System and SX.enterprise order processing systems
