Responsibilities

Create and maintain physical and electronic client files are up to date; ensure accurate data entry into the database and document management system (DMS)
Organize and process files for transfer or intake in accordance with firm policies and procedures
Perform file closing procedures, including off-site storage, retention, or disposal
Monitor shelf space; prepare inactive files for off-site storage and update related records
Assist in locating and retrieving documents and files as needed
Collaborate with attorneys, paralegals, and administrative staff to provide information on records procedures
Research and resolve issues related to locating requested records
Handle sensitive and confidential documents with discretion and care
Assist legal assistants in maintaining files and processing original documents to firm vault

Required

1–4 years of administrative experience, preferably in a law firm or professional services environment
Strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite and document management systems
Ability to manage multiple tasks and prioritize effectively
Excellent communication and problem-solving skills
