Risk and Legal Operations Specialist

Western University of Health Sciences is seeking a Risk and Legal Operations Specialist to coordinate risk-related data and oversee operations within the Office of Risk Management and Insurance and the Office of Legal Affairs. The role involves managing daily operations, stakeholder communications, and ensuring compliance with policies and procedures.

Education

Responsibilities

Oversee daily operations of the Risk Management Office including claims intake, incident reporting, and insurance certificate requests. Assist in the collection, analysis, and preparation of data for the university’s property and casualty insurance program renewals
Coordinate the annual insurance process in collaboration with the Executive Director
Coordinate insurance documentation for university events, clinical placements, property and contractual activities
Coordinate the issuance and tracking of certificates of insurance, endorsements, and vendor insurance compliance
Serve as the primary liaison for internal and external operational matters, including coordination with insurance brokers, third-party administrators, and legal counsel
Coordinate the Authorized Driver Program, including request processing, authorization notifications, and maintenance of the active driver registry
Facilitate and coordinate liability waiver and release processes for campus-related activities
Assist with drafting, reviewing, and maintaining departmental policies, procedures, and operational guidelines
Provide operational support for departmental projects, initiatives, and strategic planning efforts
Assist with data compilation, and preparation of internal reports and presentations
Coordinate the Incident Management Program assist with intake, monitoring, and investigation of incident reports, including coordination with stakeholders and third-party administrators
Maintain systems for tracking and reporting claims, including compiling loss data across all lines of coverage
Coordinate responses to professional liability verifications and claims history inquiries
Coordinate daily administrative operations of the Office of Legal Affairs, ensuring timely and professional handling and oversight of communications, scheduling, budgets, databases, procurement, and document processing
Coordinate responses to subpoenas, legal notices, independent contractor requests, and other requests in collaboration with General Counsel
Assist with drafting, reviewing, and updating risk and compliance-related policies and procedures
Ensure ongoing updates and accuracy of departmental content published on the university’s website and intranet pages
Identify opportunities to streamline processes and improve data accuracy across risk and legal workflows
Maintain confidentiality of sensitive and privileged information at all times
Perform other related duties and special projects as assigned to support the objectives of the department

Required

Bachelor's degree from an accredited institution in Business Administration, Public Administration, Legal Studies, Risk Management, or a related field
A minimum of 3–5 years of progressively responsible experience in administrative operations, risk management, legal affairs, or a related area
Strong organizational skills with the ability to coordinate multiple projects, prioritize tasks, and meet deadlines
Excellent written and verbal communication and interpersonal skills with the ability to work collaboratively across all levels; able to communicate with diplomacy and professionalism across all levels
Excellent analytical, organizational, and project management skills
Exceptional attention to detail, discretion, and judgement
High level of discretion and integrity in handling sensitive and confidential information
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and cloud-based platforms such as SharePoint
Ability to work independently and collaboratively in a dynamic and fast-paced environment
Knowledge of higher education operational structures, risk, and legal frameworks is highly desirable
Demonstrate a commitment to working in an organization that values and promotes humanism

Preferred

3+ years of relevant experience in higher education, legal, or risk management settings
Familiarity with property & casualty insurance, risk transfer documents, and claims handling processes
Prior experience managing departmental operations, policy development, or compliance-related programs
