Fleet Compliance Administrator
GFT is a privately held AEC firm seeking a Fleet Compliance Administrator to join their Strategic Services team. The role involves supporting the Fleet Manager with compliance programs, managing documentation, and ensuring adherence to regulatory guidelines related to fleet operations.
Responsibilities
Interacts with contractor hired to manage the Federal Motor Carrier Safety Administration (FMCSA) compliance program to administer medical surveillance and drug testing programs across states where GFT operates
Support, develop and integrate all FMCSA and DOT documentation
Reviews driver qualification and eligibility processes, including Motor Vehicle Records (MVR), Driving Experience, Physicals, Drug Testing, criminal and work background checks in accordance with Department of Transportation (DOT) requirements and company policies in a timely manner
Assists fleet leadership with scheduling repairs to vehicles. Follow vehicles through the repair process, minimizing operational delays
Understanding fleet onboarding, training, and tracking program. Verify that drivers MVRs are completed, and personnel are entered into monitoring programs
Ensures authorized drivers are trained and that recurring training is completed as needed
Administers fuel card program
Administers fleet contracts, ensuring vendor compliance, maintenance schedules, etc
Updates terminations for driver qualification records to satisfy GFT Infrastructure’s DOT and Non-DOT compliance standards
Assists with communication by liaising with internal and external stakeholders on various projects and tasks and prioritizing proprietary email messages to ensure goals and objectives are quickly identified and managed
Qualification
Required
Associate's degree or an additional 1-2 years of relevant experience
3-5 years of related fleet compliance administration experience within a similar sized company
Prior experience in leading federal and state regulatory guidelines, including FMCSA, DOT, and Occupational Safety and Health Administration
Proficient in MS Office (Outlook, Word, Excel, Teams, Power BI, and PowerPoint), Adobe Acrobat, and SharePoint
Experience in creating and establishing policies and procedures

Fleet administration experience within the AEC (Architecture, Engineering, Construction Management) industry
