Perioperative Services Program Coordinator

Responsibilities
Coordinates and inputs contracts and supplies with LPCH and Stanford
Processes contracts and equipment transactions, including purchase orders and requisitions
Reviews invoices to ensure that items are correct in the description, quantity, unit price, and total price
Creates, manages, and follows up on the requisitions for multiple programs to deliver items on time
Extracts data and performs analysis for multiple program needs. This involves analyzing and determining required reports and collaborating with multiple partners to create the necessary reports in epic, tableau, workday and other systems
Builds relationships and coordinates with internal and external vendors on the necessary operational activities for all I programs
Facilitates and analyzes budgeting activities to optimize programs
Assists with complex programs, spreadsheets, databases, reports, queries, charts, etc., based on department projects or activities/objectives
Coordinates and organizes special events, conferences, and meetings (staff and patient-focused), including planning, facilitation, and implementation
Organizes projects as they arise, analyzes, provides direction regarding additional areas of opportunity, and presents results
Collaborates with internal/external stakeholders and coordinators to integrate programs and structures to support perioperative services
Designs and creates templates, standardized processes, and tracking of programs/activities
Manages project schedules and program resources by coordinating activities and ensuring project phases are documented appropriately and completed within the designated time allotment
Prepares agenda for meetings; manages department database updates and creates monthly reports specific to departmental/unit operations and activities
Collaborates with manager to optimize efficient workflows for programs
Assists in building budget and reconciliation for program/activity expenses
Develops and maintains business books describing the structure and process for each program
Maintains filling system, office logistics, and records for the office
Guarantees timely submission of evaluations and paperwork associated with the smooth functioning of policies and procedures
Develops program compliance and analysis results
Collaborates with Managers, Directors, stakeholders, and others to optimize efficient workflows for program management
Provides administrative coordination to the program, such as coordinating work meetings and conferences for staff
Organizes work and coordinate duties with team members to maximize departmental effectiveness and efficiencies
Qualification
Required
Bachelor's degree
Three (3) years of experience in a related work area
Knowledge of computer skills; MS Office (Word, Excel, Access, PowerPoint, and Outlook)
Knowledge of word processing, spreadsheet, email, and database software programs
Knowledge of office procedures, equipment, and filing systems
Knowledge of hospital purchasing and record keeping systems
Knowledge of the administrative processes and flow of paperwork within Stanford Children's Health
Ability to learn and work with enterprise systems such as epic, tableau, workday
Ability to speak, read, write, and understand effectively at a level appropriate for the job
Ability to assign and schedule work
Ability to coordinate complex events
Ability to function effectively as a team player
Ability to multi-task and change priorities regularly
Ability to communicate effectively, both orally and in writing
Ability to quickly learn department policies, procedures, goals, and services
Ability to field phone calls and answer questions
Ability to communicate effectively to achieve and maintain positive working relationships with coworkers
Ability to learn and interpret hospital policies
Skilled in organizational and general office skills
