HCS Administrative Coordinator

The HCS Administrative Coordinator will provide essential support to the department by managing clerical tasks, processing referrals, and coordinating team activities to enhance the care management process.

Responsibilities

Organize and prioritize work by reviewing, triaging, and routing referrals and correspondence; collecting additional information and initiating communication when needed
Create and assign cases, maintain accurate documentation and tracking of tasks completed in the care management system and/or other tracking tools
Run reports for leadership team as requested
Schedule monthly and quarterly department meetings
Maintain department supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
Submit IT, system, and reporting requests; support new staff onboarding
Communicate effectively and respectfully with members, caregivers, peers, and other team members
Utilize department desktop procedures, workflows, job aids and training material; Identify barriers and brings to the attention of supervisor/manager
Sort incoming mail, collect and send outgoing mail, including managing digital mailroom mailboxes
Provide administrative support and performs clerical functions in support of departmental projects, as directed
Actively support the achievement of SCAN’s Vision and Goals
Other duties as assigned

Required

High School Diploma or equivalent experience
1 year or more of experience as an office clerk or similar duties of an office clerk
Technical expertise - Basic analytical skills
Problem Solving - Basic problem-solving skills
Communication - Good communication and interpersonal skills
Strong communication and customer service skills
Strong organization skill
Basic understanding of office procedures and tools
Strong attention to detail and time management
Clear written and verbal communication
Ability to follow instructions and prioritize tasks
Professional demeanor and customer service orientation
Proficient in MS Office (Outlook, Excel, and Word)

Preferred

Associate's Degree or equivalent experience
3 years or more of related experience preferred. (Test will be administered to assess proficiency.)
Bilingual English and Spanish preferred
