Responsibilities

Provide support to Design & Construction Services Division (DCS) including front desk duties, answering phone calls, receiving deliveries, and greeting visitors
Track and follow up on Adobe Sign routing of documents to be completed by all stakeholders
Maintain, review, distribute, and upload documents
Upload city procurement documents to Oracle Unifier or verify that an outside party has uploaded required plans and/or record drawings
Manage project-related paperwork by ensuring all necessary materials are current, and properly filed in the proper project management tools
Track expenditures and reconcile invoices or similar financial duties
Track sub consultant agreements/insurance/bonds as required
Schedule various meetings in person and virtually through Microsoft Teams or WebEx
Assist with preparing weekly and monthly project design and construction reports

Required

Bachelor's degree in construction management or a high school diploma with 2+ years of administrative, project coordinator and or document control experience within the construction industry
Strong written and verbal communication skills, with the ability to relay detailed information
Knowledge of applicable programs, Microsoft Office, Word, Excel, PowerPoint, MS Teams, Adobe Acrobat, and SharePoint
Develop, interpret, and adhere to all policies and procedures
Must be willing to work on-site
Ability to work on a team and support project and organizational goals
