Responsibilities

Work closely with the CEO / Founder and Chief of Staff to maintain a strong internal and external presence, maximizing the CEO’s time and supporting effective organizational leadership
Coordinate correspondence and maintain a database of senior-level contacts; develop frameworks and processes to enhance efficiency and effectiveness across the CEO’s Office
Proactively manage daily operations for the CEO’s Office, establishing priorities and improving workflows to ensure smooth execution of key initiatives
Draft and edit internal and external communications, including emails, acknowledgment letters, reports, and presentations, ensuring accuracy, clarity, and alignment with MLT’s brand and voice
Manage scheduling and logistics for the CEO’s meetings with partner organizations, the Senior Leadership Team, and the Board, including agenda preparation, minute-taking, material development, and follow-up actions
Prepare and reconcile expense reports, manage calendars, and coordinate complex travel arrangements
Build and maintain strong relationships with internal and external stakeholders, demonstrating professionalism, discretion, and a client-service mindset
Create and refine presentation materials that convey complex ideas clearly and effectively, using Google Slides and other design tools
Leverage technology and AI tools to streamline processes, improve communication, and enhance overall office efficiency

Required

Bachelor's degree or equivalent experience required
4–6 years of experience; direct C-suite support required
Demonstrated maturity and discretion in managing confidential and sensitive information appropriately
Proven ability to operate in a high-pressure, dynamic environment with strong learning agility; able to anticipate needs, think quickly, and manage multiple priorities, tight deadlines, and sudden changes with composure, organization, and proactive problem-solving
Detail-oriented, proactive, and comfortable navigating ambiguity; thrives on challenge and continuous learning
Strong proficiency in Google Workspace (Docs, Sheets, Slides, and Drive), including the ability to design polished presentations and troubleshoot technology issues efficiently (e.g., A/V equipment, UberConference, Zoom); experience with Salesforce or other CRM systems is a plus
Superior written and oral communication skills, with a proven ability to craft effective, audience-centered communications and demonstrate a strong client service orientation
Ability to manage relationships professionally with individuals at all levels, including MLT staff, alumni, Board members, donors, and external partners
Availability for evening or weekend work as needed and flexibility to adjust to the dynamic demands of executive-level support
