Executive Assistant to the President & CEO
Children's Services of Roxbury is New England’s largest Black owned and operated nonprofit agency dedicated to supporting vulnerable families. The Executive Assistant to the President and CEO will manage the CEO's calendar, coordinate meetings, and serve as a primary point of contact for stakeholders, contributing to the agency's mission-driven environment.

Responsibilities
Manage the CEO's calendar, scheduling meetings, travel, and appointments, ensuring time management efficiency
Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and professional communication on behalf of the CEO
Plan and coordinate meetings, conferences, and special events, including preparing agendas, materials, and taking meeting minutes
Assist with the tracking and execution of special projects as directed by the CEO, ensuring deadlines are met and objectives are achieved
Prepare reports, presentations, and other documents for meetings and board updates
Expenditure tracking against budget for the CEO's office
Utilize various software and tools to streamline work processes, including scheduling, document management, and communication platforms
Handle sensitive and confidential information with the highest level of professionalism and integrity
Anticipate the needs of the CEO and proactively address potential issues or challenges before they arise
Assist other senior team members as needed to ensure smooth internal operations and effective cross-team collaboration
Performs other duties as needed or as directed
Qualification
Required
Undergraduate degree in Administration, Business, or related field required
4-5 years of experience providing C-suite level support
Proven ability to work independently and manage multiple priorities simultaneously
Exceptional organizational skills and impeccable attention to detail
Highly organized and proactive, able to anticipate needs and respond quickly to changing priorities
Excellent verbal communication skills
Proficient writer with experience taking board meeting notes
Strong proficiency with office software (Microsoft Office Suite, Google Workspace, and other tools) and technology platforms
Seasoned, professional, and assertive demeanor with the ability to handle diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and partners organizations
Flexible with experience managing up
Discretion and ability to maintain confidentiality
Strong interpersonal skills and the ability to work collaboratively in a team-based, mission-driven agency
Self-starter with a positive, can-do attitude
Excellent time management and prioritization skills, with the ability to work under pressure while maintaining a calm, focused approach
High level of initiative, with the ability to think critically and solve problems quickly and efficiently
Preferred
Experience working in a non-profit environment is a plus but not required
