Leasing Specialist (Single-Family Rentals)

The Leasing Specialist is responsible for converting prospective residents into signed leases by managing leads, coordinating tours, and ensuring a high-quality resident experience throughout the leasing process.

Responsibilities

Own outreach for all assigned leads, ensuring consistent, documented follow-up from first inquiry through lease signing
Maintain best-in-class speed-to-lead standards (for example: immediate contact attempts during business hours and same-day follow-up for all new inquiries)
Execute multi-channel outreach (phone, SMS, email, and portal messaging) using structured cadences that maximize engagement and conversion
Qualify prospects efficiently, confirm needs and timing, and match prospects to available homes while guiding them to next steps
Coordinate and schedule self-guided and agent-guided tours; provide clear instructions, expectations, and support to improve tour completion rates
Educate prospects on property features, rental criteria, application requirements, and leasing timelines; set accurate expectations and reduce fall-out
Drive applications through the funnel by identifying friction points, resolving prospect questions quickly, and ensuring completeness and accuracy
Partner with screening/processing teams to monitor application status and proactively communicate updates to prospects
Prepare and execute lease packages and required disclosures in compliance with state law and company policy; ensure all documents are completed correctly and on time
Proactively manage a personal pipeline (leads, tours, applications, leases) with daily prioritization to hit weekly and monthly targets
Track and report KPI performance (speed-to-contact, contact rate, show rate, application rate, conversion rate, and time-to-lease) and take corrective action when trending off-target
Collaborate with marketing and operations to provide market feedback, pricing/amenity insights, and recurring prospect objections to improve listing performance
Ensure a high-quality resident experience by delivering professional, accurate, and empathetic communication at every touchpoint
Maintain accurate CRM records, activity notes, and outcome dispositions for every lead and interaction
Support continuous improvement by testing outreach scripts, cadences, and talk tracks; document what works and share learnings with the team
Build and execute daily outreach plans without prompting, including follow-up for “cold,” “warm,” and “hot” leads

Required

High attention to detail with strong compliance and document accuracy discipline
Proficiency with CRM and leasing platforms (for example: Yardi, AppFolio, Buildium, Funnel, Knock, LeadSimple, or similar)
Ability to work evenings and weekends as needed to support tour schedules and peak leasing demand

Preferred

Experience leasing single-family rentals and coordinating self-guided tours
Knowledge of Fair Housing compliance and state/local leasing regulations
Track record of exceeding leasing or sales goals in a KPI-driven environment
Experience collaborating with pricing/marketing teams to improve listing performance
