Marine Corps Community Services (MCCS) is looking for the best and brightest to join our Team! The Resource and Referral Administrative Specialist assists in delivering the Child and Youth Programs Resource and Referral Program, providing support to military families in identifying child care needs and options.

Responsibilities

Supports the R&R Program by collecting, maintaining and reporting data and statistics on child care requests, availability, and issues families may encounter when locating care
Coordinates respite care and/or emergency services, participant registration and enrollment, wait list management, development and dissemination of community child care and parent resources and communications, and marketing efforts
Informs and responds to inquiries regarding programs and services, waiting lists, events, policies and procedures
Supports the management of the online centralized request for care system to include the program waitlist and vacancies
Prepares and maintains assigned reports, correspondence, and statistical and financial data pertaining to R&R components
Ensures participant registration and enrollment is complete and current
Ensures R&R records are accurate, up-to date and readily available
Organizes flow of operational program processes in an office environment
Reviews and submits completed participant records to appropriate programs
Maintains office files and records
Prepares required daily, weekly and monthly reports in compliance with reporting policies and procedures and ensures submission in a timely manner
Proofreads prepared correspondence and checks for accuracy
Conducts research of files and records in order to resolve discrepancies
Notifies supervisor of discrepancies, to include any issues/ problems that cannot be resolved
Maintains access and accounts to applicable waitlist and enrollment management systems
Monitors centralized request for care system to support child care requests and assists with maintaining a current waitlist
Consults with families to assist in choosing child and youth programs and services that meet individual needs
Provides referral assistance for on installation and community based child care and youth program options
Makes offers for care in accordance with Department of Defense policy
Takes telephone calls and responds to inquiries, referring calls to supervisor or other personnel when appropriate
Collects fees, administers charges, and records payments in accordance with proper procedures
Completes a daily activity report and ensures proper deposit of funds in accordance with established cash handling procedures
Receives annual cash handling training from local Human Resources Office
Responsible for monitoring all supplies and resources and notifying supervisor of items to be replenished
Provides World Class Customer Service with an emphasis on courtesy
Assists CYP facilities with administrative duties as needed
Performs other duties as assigned
Serves as a mandatory reporter to Family Advocacy and Child Protective Services as prescribed by policy in the case of suspected incidents of child abuse and neglect

Required

Must be 18 years of age and a high school graduate or equivalent
Three years experience that demonstrates broad knowledge of administrative practices and principles
Skills to organize and coordinate multiple projects simultaneously
Skills to prepare documentation and presentations in proper format following rules of grammar and punctuation
Skills to operate a computer and associated equipment and software
Knowledge of a variety of support functions such as gathering statistical data, monitoring and managing reports on waitlist data
Must be able to obtain and maintain TIER-1 Child Care (CNACI) background checks which are required for positions that involve working with children under 18 years of age
Must pass a pre-employment physical and annual physicals thereafter, provide evidence of immunization and be free from communicable disease
Must complete all DoD training requirements within the specified time including orientation, initial, and annual ongoing training requirements, and required certifications, if any
Must maintain current CPR and First Aid certifications
May be required to obtain a government driver's license and government purchase card
Ability to communicate effectively in English, both orally and in writing, and possess strong interpersonal communication skills
