Responsibilities

Coordinate and schedule interviews across multiple teams, time zones, and stakeholders, managing complex calendars and proactively resolving scheduling conflicts
Serve as the primary point of contact for candidates throughout the interview process, delivering a professional, responsive, and welcoming experience at every touchpoint
Ensure in-person interview days are seamless by greeting candidates, preparing interview rooms, coordinating interviewer schedules, and supporting all on-site logistics
Partner with recruiters and hiring managers to manage candidate pipelines and track progress throughout the hiring process
Maintain our applicant tracking system (Greenhouse) with accurate, up-to-date information and ensure data integrity across all open roles
Build and refine recruiting coordination workflows, templates, process improvements, and best practices that scale as the team grows

Required

2+ years of experience in recruiting coordination, executive assistance, operations, or a similar high-volume, detail-intensive role
Exceptional organizational skills and the ability to manage multiple priorities simultaneously while maintaining accuracy and attention to detail
Strong written and verbal communication skills with a professional, warm, and clear communication style
A proactive, problem-solving mindset - you anticipate challenges, think critically, and adapt quickly in a fast-paced environment where priorities shift
Proficiency with Google Workspace (Calendar, Sheets, Docs) and virtual meeting tools (Google Meet)
A genuine passion for creating excellent candidate experiences and supporting the people who build great teams

Experience with applicant tracking systems is a plus (Greenhouse preferred)
