Responsibilities

Support the annual renewal process for faculty appointments and practice plan documentation
Maintain and update faculty governance materials and policies, oversee faculty HR website updates, manage committee records and election cycles, and provide operational support to Faculty Senate and Hiring Committees, including preparing reports and leadership presentations
Manage appointment and onboarding processes for regular and affiliate faculty, ensuring all appointment letters, credentialing requirements, and onboarding steps are completed accurately and on time
Track faculty membership, publications, achievements, and troubleshoot onboarding or compliance challenges
Process faculty compensation changes such as effort reallocations and stipend adjustments
Support salary equity analysis projects and ensure compensation practices align with institutional policies and regulatory requirements
Maintain accurate and updated faculty records in Human Capital Management (HCM) systems and personnel files
Process faculty separations, organizational changes, and utilize data analysis to recommend process improvements in records management
Administer the annual faculty evaluation process, tracking performance reviews and implementing necessary changes to academic titles, appointment statuses, and faculty workload allocations

Required

Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field
At least two (2) years of experience in human resources functions or administrative support processes

Exceptional verbal and written communication skills, with the ability to interact effectively within a diverse academic and healthcare community
Advanced technical proficiency in Microsoft Word, Excel, and PowerPoint, with the ability to produce polished and professional documentation
Strong analytical thinking, problem-solving capabilities, and attention to detail
Ability to work independently in a fast-paced, high-volume environment while maintaining a professional demeanor and commitment to service excellence

Preferred

Experience with University of Texas at Austin policies, particularly those related to faculty appointments, reviews, and promotions
Background in healthcare organizations or academic medical centers
Prior experience in faculty affairs administration within higher education
Proficiency in project management software such as Smartsheets
Professional certification such as PHR, SHRM-CP, or a related HR credential
