ECE Front Desk Office Manager

Novastar Kids Co provides private educational services to children and is seeking a Front Desk Office Manager to manage front desk operations and support the administrative team. The role emphasizes exceptional customer service and operational excellence, ensuring families feel valued from their first interaction.

Higher Education

Responsibilities

Greet and welcome families, visitors, and staff in a professional and friendly manner
Answer and direct phone calls, take messages, and respond to inquiries in a timely manner
Manage the sign-in and sign-out process for students, staff, and visitors
Conduct center tours and orientation for prospective families
Address parent inquiries, concerns, and complaints professionally, escalating issues as needed
Provide administrative support to the Director and leadership team
Manage incoming and outgoing mail, packages, and deliveries
Maintain and organize filing systems, both physical and electronic
Schedule appointments, meetings, and coordinate calendars for center leadership
Process and maintain enrollment paperwork and student records
Monitor and order office supplies, ensuring adequate inventory levels
Ensure compliance with federal, state, and local childcare regulations

Required

High school diploma or equivalent required; Bachelor degree in Business Administration or related field preferred
3+ years of front desk or office administration experience
Colorado Department of Human Services Early Childhood Teacher Certification
Colorado Shines PDIS Level 2.0
Strong leadership and communication skills
Ability to work effectively with diverse families and staff
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment
Excellent customer service and interpersonal skills
Strong verbal and written communication skills
Ability to multitask and prioritize in a fast-paced environment
Strong organizational skills and attention to detail
Ability to maintain confidentiality and handle sensitive information
Positive attitude and a passion for working with children and families
Criminal background check and fingerprinting required for hire
