EXECUTIVE ADMINISTRATIVE ASSISTANT
Texas Baptists is a convention of more than 5,300 Baptist churches, committed to its religious mission and beliefs. The Executive Administrative Assistant will support the Executive Director in various administrative tasks, manage communications, and assist in organizing events and maintaining relationships with affiliated churches.

Responsibilities
Assist in the development and administration of the annual budget needs of the Executive Director’s Office and related Executive Office departments
Assist the Executive Director in all administrative areas
Manage calendar and travel for Executive Director
Ensure that the responsibilities, authorities, and accountability of all direct reports to the Executive Director are defined and effectively communicated to a level of thorough understanding
Provide leadership and clear direction to align staff performance with the organization’s mission, vision, values, priorities, and strategies
Prepare and provide reports of the progress of work performed by the Executive Director’s Office for continued evaluation and development of ministries, events, and resources
Maintain professional growth through continuing education, skill development, and professional involvement
Manage and develop content for social media efforts
Assist with the production and submission of the weekly update
Write and edit articles, columns, and blog posts on behalf of the Executive Director at his request and with the support of the communications team
Stay in communication with the office of Cooperative Program to share information about churches seeking affiliation and the status of recently affiliated churches
Assist in coordinating follow-up communication and events that help newly affiliated churches connect with the executive director and the rest of the Texas Baptists staff
Prepare and send church/minister anniversary certificates and awards as requested
Manage information accumulation and publication of the BGCT Annual and Book of Reports
Manage distribution of scholarships for children of BGCT employees
Process mail and other correspondence accurately and timely
Prepare, coordinate, write, and proofread letters, memos, spreadsheets, and other correspondence accurately and timely
Assist in screening emails to the executive director, replying on his behalf as directed, and keeping the executive director apprised of emails that require his attention
Answer phones promptly, take accurate messages, and respond to requests for information timely
Attend meetings and participate in training as required
Maintain an efficient follow-up system to ensure all deadlines are met
Coordinate and prepare agendas for Executive Board and other meetings required for the Executive Director
Maintain compliance with the Baptist General Convention of Texas policies and procedures. Maintain compliance with all state and federal laws and regulatory requirements
Coordinate communication with churches, organizations, and internal departments regarding speaking engagements, making sure they have the information they need and that the executive director has the information he needs
Perform other duties as required

Required
Ability to relate positively, influentially, and sensitively to a broad spectrum of persons in a variety of multi-tiered relationships and settings to include but not limited to clergy, laity, institutional staff/faculty, various Baptists organizations, churches of all sizes, cultural identities and worship styles, board and council members, Baptists of Texas and beyond
Proficient ability to plan, administer, and report budgets
Ability to provide strategic and logistical planning and facilitate meetings, conferences, workshops, and retreats as required
Active membership in a church supportive of the BGCT during employment
Ability to effectively manage personnel; administrative skills to include but not limited to staff selection, development, motivation, scheduling, and evaluation
Excellent listening skills, interpersonal skills, and relationship building skills
Excellent demonstrated leadership skills necessary to appropriately influence people to achieve a desired outcome
Ability to travel to various geographic locations and some overnight stays
Proficient client management skills
Ability to maintain confidentiality
Proficient ability to exhibit detail-oriented skills necessary to understand and manage a wide-range of information from a vast amount of entities
Proficient ability to use various social media platforms (ie: Facebook, Twitter, Instagram)
Proficient working knowledge and ability to use various office software including, but not limited to, Microsoft Word, Microsoft Publisher, Microsoft Excel, and internet skills
Basic understanding and ability to use Adobe InDesign and Adobe Photoshop
Proficient ability to speak, read, and write English
Ability to speak clearly and make self understood in face-to-face interactions; to articulate with accuracy on the telephone
Ability to hear and receive verbal instructions, answer phones, and proficiently communicate in situations with some background noise
Ability to concentrate on fine detail with some interruption; ability to focus attention on tasks for 45-60 minutes at a time on a continuous basis
Ability to understand and relate to the theories behind several related concepts; ability to remember verbal and written tasks/assignments from a few hours to long periods of time
Ability to establish and maintain effective working relationships with staff, vendors, churches, committees, organizations, etc
Excellent organizational skills; ability to multi-task
Professionalism in the workplace to include professional and accurate communication with others
Commitment to Christian principles and teachings both professionally and personally, with an understanding and commitment to Baptist distinctives
Ability to use up to 50 pounds of force occasionally and/or up to 20 pounds of force frequently, and/or 10 pounds continuously to move objects
Work deals mostly with areas such as preparing and reading data and figures, reports; visual inspection involving small details. Although important, depth perception and field of vision (peripheral) are not as critical as the ability to distinguish small details and markings very near to the observer
Ability to grasp, push, pull, carry or otherwise manipulate objects; ability to perform tasks requiring action of muscles or groups of muscles and foot and/or hand-eye coordination
Ability to walk, stand, and sit, sometimes for prolonged periods of time
Sufficient good health to properly discharge duties
