Responsibilities

Orchestrating Schedules: Masterminding complex calendar management across multiple time zones for three leaders
Coordinating Travel: Arranging detailed domestic and international travel, ensuring seamless trips for team members
Planning Events: Organizing and executing engaging team events, from workshops to onsite collaboration weeks that bring our remote and local teams together
Managing Finances: Processing key financial items with accuracy, including expense reports, Statements of Work (SOWs), and purchase orders
Driving Communication: Assisting in the creation of departmental communications and helping to welcome and onboard new team members
Utilizing Tools: Leveraging the full Microsoft Office Suite (Outlook, Teams, Word, PowerPoint, Excel, SharePoint) to facilitate collaboration and information sharing

Required

High school diploma or equivalent
Minimum 1 year of Executive Assistant, Administrative Assistant, or Office Manager experience
Experience should consist of directly supporting one or more leaders with calendaring, travel, and expenses
Ability to prioritize projects and multi-task and a fast-paced office environment
Ability to communicate effectively
Proficient in Microsoft Outlook and Teams for the meetings
Proficient in Microsoft Office applications (Word, PowerPoint, Excel) and SharePoint
Willingness to learn new systems and processes require for role
Well-developed organization skills, and a strong attention to detail
Flexibility to pivot to priority work of the team as needs arise
Self-motivation, attention to detail and efficiency in work
Ability to work with other administrative assistants within the broader Technology Division on initiatives and activities that affect all employees within the global Technology organization
