The Payroll Specialist role involves providing administrative support to the Payroll Accountant, including payroll processing, compliance documentation, and maintaining accurate payroll records.

Responsibilities

Collects and enters timekeeping information from Tech Tool and Service Management into Paylocity payroll system

Reviews timecards for accuracy and completeness; obtains supervisory approval for all timecard discrepancies

Assists with processing payroll including direct deposits, garnishments, and other deductions under the direction of the Payroll Accountant

Assists with W-2 processing and year-end calculations

Assists with recording payroll transactions to the general ledger under direction of the Payroll Accountant

Assists with accounts payable tasks including entering invoices, sorting invoices for approval, and working within Sage Paperless

Reviews monthly accounts payable statements and contacts vendors regarding missing invoices as directed

Assists with month-end reconciliations and reporting as directed by the Payroll Accountant

Performs data entry and administrative tasks related to payroll and accounting functions

Maintains organized payroll filing system and ensures all documentation is properly stored and accessible

Files and tracks all business licenses and certifications

Supports insurance compliance activities for subcontractors including maintaining certificates of insurance

Maintains confidentiality of all employee and payroll information

Provides timely and complete documentation of work performed

Responds to routine employee inquiries regarding payroll, timekeeping, and related matters; escalates complex issues to the Payroll Accountant

Operates vehicles and other equipment safely; adheres to safety protocols; reports hazards and risks; behavior contributes to a safe and secure working environment

Required

Associate's degree in Accounting, Business Administration, or related field; or High School Diploma/GED with equivalent work experience

Minimum 1-2 years of experience in payroll, accounting, or related administrative role

Strong attention to detail and accuracy in data entry

Ability to handle confidential information with discretion

Good organizational and time management skills

Professional communication skills

Proficiency in Microsoft Office Suite (Excel, Word, Outlook)

Preferred

Experience with Paylocity or similar payroll systems

Experience with Sage Construction and Real Estate or NetSuite

Basic knowledge of payroll processing and accounting principles
