Responsibilities

Support the General Operations Manager with general management of the Houston Office and tracking office costs
Oversee office maintenance, mailing, supplies, equipment, and billing
Support executive leadership with expense reporting, travel arrangements, and meeting schedules
Assist with setup, monitoring, and updating projects in financial system (Vision), including initial budgets, change orders, and quarterly update requirements
Assist the project managers with standard reports to monitor project progress
Assist project managers with establishing purchase orders in Vision, and approval of vendor invoices in AP System (SCERIS)
Assist with marketing/hospitality event coordination and logistics
Assist project managers with formatting, production, and distribution of deliverables to clients
Quality assurance review on deliverables to clients ensuring all approvals are documented
Provide support in maintaining office functionality
Assist hiring managers with onboarding new hires; and
Provide office administrative support including mainline phones, hosting visitors, conference room reservation management, and organizing office functions

Required

Experience with a consulting firm required, preferably in the environmental or infrastructure sector
Experience in Deltek Vision or similar financial systems required
Requires average to above-average abilities to work in MS Office and Adobe
Excellent communication, organizational, and customer service skills
Must be self motivated and can prioritize tasks
Demonstrated ability to work efficiently under conditions of multiple deadlines and changing priorities
Willing to initiate and follow-through on assignments
May be required to occasionally lift and move up to 10 pounds while standing, kneeling, or stooping
Ability to be in office Monday through Friday. Full and part-time options available
