Regional Director of Health Center Operations

Responsibilities

Responsible for the financial, clinical and operational performance of the health centers including cross-center standardization, and standardized workflows
Ensures consistent management approach across Health Centers
Participates in strategic planning and coordinates implementation of operational initiatives
Oversees Lead Clinicians and Health Center Managers in performing the following:
Interview, hire, and retain health center staff – final decision-making authority jointly with Lead Clinicians and Health Center Managers
Drives continuous course correction activities for health center operations that are not meeting quality or performance measure expectations
Provides mentorship and guidance on optimizing effectiveness with health center manager/lead clinician dyad partners
Holds Lead Clinician and HCM accountable to job responsibilities and meeting established goals/metrics
Ensures consistent and standardized implementation of new initiatives through providing oversight, direction, and support to the Lead Clinicians and Health Center Managers
Ensures proactive management of patient access and compliance to scheduling and template management policies; escalates ad hoc and systematic issues to Access Director
Collaborate with other departments and resource staff to facilitate matrix management model for support, training and performance management
Maintains Quality Management systems within the health centers in conjunction with Clinical Support and Quality Department
Participates routinely in affiliate-wide leadership meetings and shares best practices to other affiliate leaders
Aligns with the direction provided by the Clinical Quality and Support Group
Enforces performance standards and programmatic compliance
Ensures compliance to Planned Parenthood clinical standards and quality of medical care by identifying areas of improvement, communicating perceived needs to appropriate persons, and participating/leading in development of improvement plans
Works in collaboration with Lead clinicians and MA Supervisor to ensure MA clinical staff meet or exceed competencies
Responsible for ensuring clinical center staff are aware of roles and understand available resources for supportive team collaboration
Ensures lead clinician accountability to ensure adherence to provider workflows, top of license work, and leveraging of technology and EHR Optimization
Provides fiscal oversight of health centers by partnering with the Finance Department to create and manage operational and capital budgets, and to ensure supply and consumable inventories are cost effective and meet health center needs
Achieves key operating and financial benchmarks, based on PPFA standards, that define the organization as a leading Planned Parenthood affiliate
Provides consistent and routine updates on health center finance and revenue cycle performance, including monthly operating reports
Assists in the development and implementation of finance, revenue cycle and budgetary objectives for health centers
Ensures implementation of initiatives in support of short and long-term goals, including creation of milestones, budgets, allocation of resources, metrics, process review, and making mid-course corrections as needed
Manages Health Center Managers and Lead Clinicians to ensure implementation and maintenance of best practices for PPPSW in areas of finance, revenue cycle, and patient access. Ensure Health Center Managers and Lead Clinicians:
Routinely monitor and promote proactive intervention in areas affecting expenses, clinician productivity, patient access, and revenue cycle such as staffing and OT levels, registration, scheduling of appointments, no show rates, appointment cancellations, charge entry, and coding; developing and implementing remediation plans
Establish effective communication with clinicians to promote the understanding of monthly practice reports
Partner with Patient Access and Scheduling Office to identify and communicate health center staffing levels and ensure ratios are maintained
Partner with Patient Access and Scheduling Office to ensure hours of operation and shift schedules meet the needs of patients and staff
Provides ongoing evaluation and monitoring of all program and services within the health centers
Establish effective communication with clinicians to promote the understanding of reports and how their work impacts performance outcomes and our mission
Manage direct reports (Health Center Managers and Lead Clinicians within the region) and oversee health center team effectiveness:
Ensures compliance to human resources policies and procedures
Ensures accountability for performance and implements performance management system as appropriate
Promotes a climate of formalized, intentional, and open communication and information sharing within and across health centers
Provides mentorship and guidance on optimizing effectiveness with health center manager/lead clinician dyad partners
Ensures that Health Center Managers and Lead Clinicians are competent to fulfill assigned responsibilities and to provide leadership to health center staff
Motivates leaders within the region to develop a cohesive team focused on clinical, financial, and operational excellence
Establishes PPPSW as a leading Planned Parenthood affiliate by building and maintaining a talented, dedicated and committed team with the depth and skills that enable PPPSW to effectively execute its strategic plan and achieve organization wide goals
Leads, supports, trains, and coaches health center leadership / direct reports so that they can carry out their roles effectively and drive high functioning health cent
Ensures equitable access to quality care and health center services for patients
Actively promotes DEI learning and awareness - coach and role model for Health Center Managers and Lead Clinicians

Required

Bachelor's Degree or equivalent experience in health related field
5+ years of experience supervising teams of 10+ people in a health care environment
5 + years of experience working in a health care setting, i.e. community health, urgent care or managed care environment, with strong knowledge of health care issues and policies
5 + years of proven experience analyzing data to identify trends and opportunities for continuous improvement
5+ years of proven experience impacting with patient flow efficiencies and patient experience

Preferred

Master's Degree in Business Management, Health Care Administration or equivalent
1+ years of experience managing multiple locations and/or programs
