Responsibilities

Develop, implement, and monitor the company’s billing and collections strategy to ensure efficiency, accuracy, and compliance
Lead initiatives to increase the referral rate (percentage of delinquent accounts referred to collections) while maintaining fair and consistent practices across all communities
Analyze collection trends and performance metrics to identify opportunities for improvement and cost savings
Collaborate with executive leadership to set department goals aligned with organizational objectives
Review, update, and maintain the Collections Policy to ensure it reflects current laws, best practices, and company standards
Define and manage delegated authority guidelines for community managers and staff regarding collection actions, write-offs, and payment plan approvals
Ensure adherence to Fair Debt Collection Practices Act (FDCPA), state-specific HOA/condo collection statutes, and company ethical standards
Oversee all aspects of billing and collections, including assessment billing, late fee processing, payment application, and delinquency tracking
Manage relationships with legal partners to ensure timely and effective handling of escalated accounts
Coordinate with internal teams to resolve billing disputes and maintain data integrity
Supervise and mentor the billing and collections team, fostering a culture of accountability, service excellence, and continuous improvement
Establish performance metrics and training programs to enhance team productivity and professionalism
Promote collaboration between departments to improve the homeowner experience and financial outcomes for associations
Develop and maintain dashboards, KPIs, and monthly reports on collection rates, referral rates, and financial performance
Present findings and recommendations to executive leadership and board clients as needed

Required

Bachelor's degree in Accounting, Finance, Business Administration, or related field required
Minimum 7–10 years of progressive experience in billing, collections, or receivables management
Proven leadership experience managing multi-functional teams and improving departmental performance
In-depth knowledge of billing and collection processes, laws, and regulations
Strong analytical and problem-solving skills with attention to detail
Excellent communication and negotiation skills
Proficiency in accounting software, association management platforms and Microsoft Office Suite
Ability to manage multiple priorities in a fast-paced environment
Ability to sit for prolonged periods at a desk and work on a computer
Ability to occasionally stand, walk, bend, or reach as needed
Ability to lift or move objects up to 10–15 pounds (e.g., files, office supplies)
Manual dexterity to operate a computer keyboard, mouse, telephone, and other office equipment
Visual acuity to read printed materials, spreadsheets, and computer screens
Hearing and speech ability to communicate effectively in person, by phone, and in virtual meetings
Ability to work in a standard office environment with moderate noise levels
Ability to work a standard schedule, with occasional extended hours as required
