Receptionist and Administrative Assistant
Confidential is a Property Management Company seeking a Receptionist & Office Assistant to support daily operations of an apartment community. The role involves greeting visitors, managing communications, and maintaining office records with a high degree of attention to detail.

Responsibilities
Answer phones and direct calls to the appropriate person
Answer receptionist emails
Speak with residents and vendors who come into the office
Sort and distribute communications in a timely manner
Update records after issuing key fobs, smart cards, resident and temporary parking passes and stickers; ensuring accuracy and validity of information
Trouble shoot system malfunctions for copier, intercom, etc. and call for service if needed
File documents in correct folders
Maintain vendor sign in and sign out logs while issuing vendor badges
Maintain respectful and polite relationships with colleagues, residents and vendors
Professional attire is required, no visible tattoos or facial piercings
Qualification
Required
A minimum of 2 year in receptionist role
Ability to work as a team player with enthusiasm and self-motivation
Working knowledge of Microsoft Office including Excel, Word and Outlook
The ability to deescalate a tense phone call or conversation while maintaining a professional demeanor
Excellent organizational and time management skills
Ability to work 8:30am-5pm Monday to Friday with reliable transportation
Ability to Commute: Malden, MA (Required)
