Responsibilities
Support the Director of Case Management & Scheduling, Scheduling Specialist, and therapists with daily scheduling needs
Set up new teammates by assigning schools, students, and required accounts
Create, modify, or duplicate schedules to support therapist needs
Assist with schedule transfers related to time off
Conduct routine scheduling audits
Assist with therapist caseload transitions
Maintain the master clinic calendar
Support summer scheduling and district preparation
Prepare weekly protocol shipments and monitor inventory
Receive, review, and process physician orders and patient documentation
Ensure all documents meet state, insurance, and internal compliance standards
Verify documents are properly labeled, complete, and assigned to the correct patient
Process school orders for TennCare and School Pay clients
Complete insurance verifications for TennCare and commercial plans
Follow up on Problem Alerts, Failed Documents, and Stopped Orders
Collaborate with internal teams to resolve documentation or verification needs promptly
Qualification
Required
Prior experience in administrative, scheduling, or healthcare operations preferred
Strong attention to detail and organizational skills
Ability to manage time effectively and switch between tasks
Strong written and verbal communication skills
Ability to learn and navigate electronic health record (EHR) systems
Comfortable working independently and collaboratively
