Executive Assistant
SAFY of America is dedicated to preserving families and securing futures, providing various services to support children and families. The Executive Assistant will provide administrative support to the Executive Leadership Team and the President/CEO, including managing schedules, preparing correspondence, and coordinating meetings.

Responsibilities
Reviews correspondence to President/CEO and prepares responses
Keeps the President/CEO on task including actively managing a fluid calendar and reading, printing and efiling the President/CEO’s email traffic while the President/CEO is in meetings
Maintaining President/CEO appointment/travel schedule and monitoring traffic to the President/CEO
Assists with scheduling of weekly meetings, conference calls, etc. between CEO and members of the Executive Leadership Team
Participates in business meetings and interacts with the Board of Directors
Prepares agendas and assembles information for meetings
Ensures meeting minutes (for Board meetings, Board committee meetings, misc.) are drafted and distributed in a timely manner
Understands leadership and Board member dynamics and acts as communication liaison to the Board of Directors and all staff when requested by President/CEO
Responsible for securing contracts with hotels, providing rooming lists, submitting menu selections and any other ancillary assignments associated with off-site meetings for Executive Leadership Team and Board of Directors
Offer support and complete various assignments as requested by members of the Executive Leadership Team
Assist (as needed) with special SAFY events, such as sending thank you letters to donors, etc
Assist with Board Appeal Letters (tracking and subsequent thank you’s, etc.)
Exercise discretion and maintain a strict adherence to all confidential information
Establish and maintain a positive working relationship with all levels of SAFY staff by participating in joint meetings, and problem identification and resolution
Establish and maintain a supportive and positive working relationship with youth, foster parents, referring agencies, and other SAFY stakeholders
Attend relevant in-house and external seminars, trainings, conferences and workshops to develop and enhance knowledge in the designated area as well as achieve relevant education hours per year to enhance professional and job-related skills
Attends required meetings within division, region, and central office (team and/or community partners)
Participate in assigned committees and chairs if so appointed. If appointed, maintains liaisons with state and national organizations
Meets regularly with supervisor to discuss issues and performance
Submit monthly/quarterly reports to immediate supervisor
Sensitive and responsive to the cultural differences of staff, SAFY youth, foster parents, referral sources and the public
Other duties as assigned by supervisor
Qualification
Required
Education: Associate degree in related field
Experience: Five years of experience in an executive administrative capacity, in which three years include supervising staff and working directly with executive management
Strong attention to detail and accuracy and ability to multi-task
Ability to work calmly and effectively under pressure
Strong organizational skills to prioritize workload
Excellent communication and customer service skills, both oral and written
Ability to maintain a high level of confidentiality and sensitivity of information and exercise good judgment and discretion in handling and disseminating information
Technology proficient with excellent computer skills in Microsoft Office/Office 365 Suite, Bill.Com, webinar setup, agency databases and online systems
Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Highly resourceful team-player, with the ability to also be extremely effective independently
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
Forward looking thinker, who actively seeks opportunities and proposes solutions
