Administrative Assistant (Sailport Waterfront Suites)

Provident Hotels & Resorts is a company focused on creating lasting memories in the hospitality industry. They are seeking an Administrative Assistant to provide support to the General Manager and various departments, manage payroll, and assist with owner communications and condominium association meetings.

Responsibilities

Assist the GM with correspondence, scheduling, and administrative tasks
Input and track all property owner and complimentary reservations
Prepare and track gift certificates and manage office supplies
Process HR paperwork, coordinate benefits enrollment, and ensure payroll accuracy
Maintain confidentiality of employee records and payroll data
Assist in organizing team events, luncheons, and recognition programs to foster a positive work environment
Act as the on-site safety representative, organize quarterly safety meetings, and ensure compliance with workers’ compensation policies
Manage rental program documentation, distribute owner statements, maintain condo owner records, and coordinate annual meetings
Prepare meeting agendas, take meeting minutes, maintain meeting documents all with in accordance with Florida statutes
Other duties as assigned

Required

Ability to work Monday through Friday, 8:00 AM - 5:00 PM
Prior administrative experience required
Highly organized with strong attention to detail
Proficiency in basic accounting and financial analysis, including the ability to calculate figures, interpret invoices, prepare month-end reports, and related financial documents
Strong leadership and interpersonal skills with the ability to effectively manage, guide, and support team members
Excellent verbal and written communication skills
Proficiency in MS Office (Excel, Outlook, Word)
Ability to manage multiple tasks in a fast-paced environment
Responsibility, reliability and honesty
Teamwork and collaboration

Preferred

Prior experience in hospitality or rental management
Bilingual with English and Spanish
Some knowledge of HR administration and payroll processes
Knowledge of Community Association Management or HOA process
Bilingual (English/Spanish)
