Responsibilities

Manage a high volume of calendar appointments, travel arrangements, and expense reporting for primarily domestic travel and occasional international travel
Exercise discretion when responding to email and in person requests and tasks
Assist in preparing briefing materials; set up and support a variety of meetings, including large group employee meetings
Track administrative details on all projects, providing status updates on delegated tasks to ensure progress toward deadlines
Field inquiries efficiently to maximize the leader’s time; screen visitors to control interruptions and have oversight over the Vice President’s schedule
Provide meeting backup data as needed and arrange all required amenities

Required

Prior experience as an Executive Assistant
Experience proactively collaborating with and coordinating administrative support for senior level executives from LM, government, and industry partners
Experience using administrative applications (in particular Microsoft Outlook, Word, Excel, PowerPoint, and Teams as well as Zoom)
Experience composing reports, correspondence, and memorandums, and reviewing drafts and finished documents for appropriate content, grammar, and distribution
Experience preparing and maintaining administrative lists, charts, and trackers and proactively coordinating appropriate inputs and updates from others
Experience making complex travel arrangements, order supplies and catering, and reconcile expense reports
Competency in the use of the internet to perform research
Must be a United States citizen and be

Preferred

Active TS/SCI clearance
5+ years of experience as an Administrative Assistant at the director level (or equivalent) or above
Prior experience as an Administrative Assistant for a Vice President or above in Aerospace and Defense and/or partners
Basic understanding of business and financial concepts
Project management skills
Advanced analytical and statistical analysis skills
Demonstrated knowledge of security classification levels, policy, and associated resources
Experience using LM tools and websites (e.g. classified and unclassified VTC, Concur, Command Media, LMBuildings, SharePoint, Box, etc.)
Capacity to quickly learn, or demonstrated knowledge of, LM policies and business operations including for travel (arrangements, expense reporting, etc.), procurement (supplies, catering, etc.), memoranda (e.g. delegations of authority, organization announcements, etc.), events (e.g. offsites, all-hands, customer visits, etc.), and operations (e.g. organization structure, positions/titles, business rhythms, etc.)
Excellent interpersonal skills, both oral and written, and the ability to work well with all levels of internal management and staff, as well as outside executives and customers
