Senior Administrative Coordinator - Texas Talent Accelerator
The University of North Texas is a prominent educational institution in the Dallas-Fort Worth region, and they are seeking a Senior Administrative Coordinator for the Texas Talent Accelerator. Responsibilities
Provide high-level administrative support to the Executive Director, including calendar management and meeting coordination
Process and manage Executive Director's expense reports and travel arrangements and provide budget and vendor documentation support as needed
Prepare and edit documents correspondence, email and calendars using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Maintain confidential files and records in accordance with university and institute policies
Interacts with other UNT departments for any process questions and coordinates with other departments on joint events and use of UNT spaces and other supports
Interacts with vendors for documentation and invoice processing support
Serve as a team point of contact for corporate administrative assistants, community organization assistants, and external stakeholders assistants
Coordinates timing and logistics of meetings, communications, note-taking and supports project management scheduling activities and reminders
Maintains, enters data, updates and edits entries into CRM system (Salesforce)
Draft routine e-mail correspondence for Executive Director review
Coordinate and support execution of virtual and live meetings, convenings, and partnership events
Support event logistics including venue coordination, interface with technology team for setup for virtual meetings, and primary interface with ordering and presenting catering
Coordinate with internal marketing, communications, and events team members
Maintain event documentation, attendance records, and post-event follow-up
Assist with grant-related documentation, reporting, and compliance activities, particularly regarding timelines and formats of submission documentation
Support budget preparation and monitoring for grants and partnerships
Provide any necessary documentation to university grant administration offices, university fundraising, or other departments as needed
Manage general or unknown party incoming communications, prioritize importance, and distribute to appropriate team members
Support marketing and communications team with administrative tasks
Coordinate with other university departments and maintain institutional relationships with other administrative personnel
Assist with special projects and strategic initiatives as assigned
Qualification
Required
Bachelor's degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training
Exceptional communication and interpersonal skills
Advanced written communication skills
Advanced Microsoft Office skills
Knowledge of accounting/budgeting procedures
Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others
Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats
Ability to conceptualize, plan and organize multiple programs and assignments effectively
Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness
Skill in developing and maintaining good working relationships
Knowledge of policies, practices, procedures and terminology of assigned function
Supervisory skills
Preferred
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook calendaring)
Strong written and verbal communication skills with corporate professional focus
Experience with setting and conducting meetings using virtual meeting platforms (Teams and Zoom)
Ability to maintain confidentiality and handle sensitive partnership information
Excellent organizational and time management skills with ability to manage multiple priorities
Strong attention to detail and accuracy in all work product and ability to format documents well
Professional demeanor and exceptional customer service orientation for all interactions
Ability to work independently with minimal supervision and access to support in a dynamic environment
