Assistant Project Manager (Cost/Scheduling/Document Control)
MasTec Civil, LLC is a heavy highway contractor specializing in complex transportation projects. They are seeking an Assistant Project Manager to support the successful delivery of a heavy civil roadway project by managing documentation, assisting with cost control, and supporting schedule development and maintenance.
Responsibilities
Establish, maintain, and enforce project document control systems in accordance with company and owner requirements
Manage incoming and outgoing correspondence; including RFIs, submittals, transmittals, meeting minutes, and notices
Track submittal and RFI logs ensuring timely review, response, and distribution
Maintain current contract documents, drawings, specifications, and revisions
Support preparation and documentation of change orders and claims
Assist with contract compliance, reporting requirements, and project closeout documentation
Assists in developing and maintaining the project schedule using scheduling software
Update schedules with progress, production quantities, and field input
Track critical path activitives and identify potential schedule impacts or delays
Support preparation of look-ahead schedules and coordinate with field operations team
Assist in schedule analysis for change orders, time impacts, and delay documentation
Assist with project budget setup, cost coding, and cost tracking
Track commitments, subcontract agreements, purchase orders, and invoices
Support monthly cost forecasting, cash flow projections, and cost-to-complete updates
Assist in evaluating change order pricing and maintaining change management logs
Support documentation for owner billing and progress payment applications
The Assistant Project Manager is responsible for the project’s budget and discuss with the Estimator all variances noted and shall understand the pay item estimate work sheets and communicate the information to the supervisor, and evaluate the cost effectiveness of the procedures in place and replace all those that are deemed ineffective
Take all necessary measures to avoid unplanned occurrences that may increase cost, such as accidents and injuries, equipment abuse, etc
Ensure that change orders and/or claims are properly documented, prepared and submitted to the Owner in a timely manner
Review and approve all budget changes and cost transfers
The Assistant Project Manager shall provide a monthly Project Status Report to accompany the monthly cost report
The Assistant Project Manager shall ensure that the monthly cost reports are reflective of the actual field performance
Cost reports shall have accurate quantities and projections
Qualification
Required
Bachelor's degree in Civil Engineering or Construction Management
Minimum five years' experience in the heavy construction industry
Must have bridge, roadwork, and DOT experience
A demonstrated understanding of construction means, and methods associated with the heavy construction industry
Strong team leadership project management skills
Experience in leading multi-disciplined teams
Ability to direct the work of subcontractors in order to achieve project goals
Computer knowledge musts: Microsoft Excel, Microsoft Word, and Microsoft Outlook, Project scheduling - P-3 at minimum
Ability to maintain onsite project documentation
Ability to schedule and coordinate all site work
Must be well organized and detail oriented
Ability to multitask and manage multiple sites
Ability to read and understand drawings and specifications
Excellent verbal and written communication skills
Ability to interact with people on all levels ensuring that all external and internal communication is carried out to a high standard
