Corporate Administrative Assistant/Coordinator (Chicago O'Hare)

They are seeking a Corporate Administrative Assistant/Coordinator to serve as the first point of contact for visitors, manage front office operations, and provide administrative support to ensure efficient business operations.

Responsibilities

Greet visitors warmly and direct them to the appropriate personnel or department
Answer, screen, and route incoming phone calls in a professional and timely manner
Maintain a clean, welcoming, and organized reception area and company merchandise store
Manage visitor sign-in procedures, badges, and security protocols as required
Supports MarComm team with merchandise sales for the company merchandise store
Perform general clerical and administrative duties as needed (data entry, coordination of activities, system maintenance, expense reports, travel reservations, etc.)
Schedule meetings, conference rooms, and appointments for staff as needed
Assist with creating and updating reports, spreadsheets, databases, and presentations
Support HR and management with other administrative tasks as requested
Monitor and maintain inventory of office supplies; place orders when necessary
Coordinate lunches and other employee events as needed
Assist with both onboarding and offboarding tasks as needed
Partners with Office Services, IT and HR to provide a positive employee, guest and visitor experience

Required

High school diploma or equivalent required; associate degree preferred
1–2 years of experience in office administration, customer service, or a related role
Excellent verbal and written communication skills
Strong organizational and multitasking abilities
Must be process-oriented
Professional, friendly, and customer-focused demeanor
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Powerpoint) and aptitude to learn other software systems
Ability to handle sensitive information with discretion
Strong attention to detail and problem-solving skills
Must be able to demonstrate follow up and follow through

Preferred

Experience working in a corporate environment preferred
