National Service Operations Coordinator
The City of New York is a government administration agency that aims to provide meaningful access, opportunity, and resources for communities. Responsibilities
Lead and monitor the onboarding process for 150+ incoming AmeriCorps members
Develop and update internal procedures for collecting and tracking member eligibility documents
Lead members' enrollment in administrative systems (e.g., payroll, healthcare, and time sheet tracking) and support staff in addressing member inquiries regarding these systems
Support and track specific elements of the AmeriCorps compliance process, including quarterly reimbursement reports and site monitoring
Regularly review and make suggested updates to departmental operations manual and other program guides
Track program spending and work with the National Service Operations Director to prepare invoices, process payments, and present monthly spending reports
Develop and coordinate the monthly collection, tracking, and reporting of metrics from organizational partners and members
Update and administer member and host site pre- and post-service survey distributions
Compile and analyze data from surveys, monthly reports, and evaluations throughout the service year
Prepare program data for presentation to internal and external stakeholders, including visual tools and written reports
Support National Service Operations Director in preparing and submitting funder letters of interest, progress reports, and grant reports
Support migration of relevant program data from existing spreadsheets into the Salesforce CRM database
Develop, implement, and train staff in processes to maintain and update Salesforce data, ensuring information is accurate and complete
Participate in intradepartmental data committees to address data management, reporting needs, and process improvement
Represent NYC Service at select events
Be available on select weekends and on select evenings for projects
Provide project support with other service activities and programs, as needed, including emergency volunteer response
Support City initiatives as needed, including but not limited to possible emergency response and recovery
Qualification
Required
A baccalaureate degree from an accredited college and two years of experience in administration, research, management, analytical work, community work or community activities
A four-year high school diploma or its educational equivalent and six years of experience as described in '1' above
A satisfactory equivalent combination of education and/or experience. However, all candidates must have at least one year of experience in administration, research, management, analytical work, community work or community activities
Preferred
Experience or comfort in individual counseling, problem-solving, and guiding others through complex circumstances
Ability to manage multiple projects simultaneously
Capable of managing against goals and working under tight deadlines
Strong written and oral communication
Experience in relationship management
Strong computer skills
Excellent organizational and administrative skills
Ability to work both independently and as an effective team member
Ability to work beyond traditional working hours and schedules
