Assistant Director of Academic Operations

Responsibilities
Oversee the day-to-day coordination of academic operations, including scheduling, course set-up, student record maintenance, and system integrations
Manage academic operations dashboards, ensuring data accuracy and timely reporting of enrollment, progression, assessment, and retention metrics
Support the CAO and Registrar in the development, documentation, and implementation of academic policies, procedures, and operational frameworks
Ensure compliance with institutional and accreditor policies in academic operations, assessment, and record-keeping
Provide direct administrative and strategic support to the Chief Academic Officer in operational planning, special projects, and policy execution
Collaborate with the Registrar to maintain integrity in student records, transcripts, and certification processes
Support the Program Director with coordination of academic team meetings, communication, and follow-up on action items
Serve as liaison for IT and system-related needs within Academic Operations, ensuring functionality across the Student Information System (SIS), Learning Management System (LMS), and related academic platforms
Identify opportunities for automation, efficiency, and data-driven improvements in academic processes
Maintain oversight of Service Level Agreements (SLAs) to ensure responsiveness and accountability across departments and vendor relationships
Coordinate meetings, communications, and community-building initiatives that strengthen collaboration among faculty, mentors, assessors, and operations staff
Support the launch of new academic initiatives, onboarding of faculty and staff, and continuous improvement of student and faculty experiences
Represent Academic Operations in internal meetings, providing updates and recommendations to advance institutional goals
Partner with the CAO and Program Director to design and implement strategic initiatives aligned with SET’s short- and long-term goals
Coordinate institutional functions, projects, and reporting to support accreditation, compliance, and performance objectives
Support institutional readiness and operational excellence as SET scales its academic delivery model globally
Qualification
Required
Master's degree required; doctorate or progress toward a doctorate preferred
Minimum of 5 years of experience in higher education academic operations, registrar's office, or academic administration
Demonstrated ability to coordinate complex systems, manage multiple projects, and maintain operational accuracy
Experience working with Student Information Systems (SIS), Learning Management Systems (LMS), and institutional reporting tools
Strong interpersonal and communication skills, with the ability to work collaboratively across academic and administrative teams
Proven ability to manage projects independently while aligning with institutional goals and leadership direction
Commitment to innovation, access, and student-centered design in higher education
