Responsibilities

Serves Students. Provides daily clerical/administrative support to the Admin Assistant IV & Faculty, and staff in the assigned department/location. Oversee the front desk area by answering phone calls and responding to inquiries in person, by email, and through other forms of communication. Provides Coverage to the Admin Assistant IV while out of the office
Direct Students to various locations on Campus, provide detailed information to students, and assist with registration forms to be included in over-capacity courses. Reach out to students regarding changes in schedules and request follow-ups with students
Calendar: Schedules for all appointments, calendaring for the Supervisor. Reminds the Supervisor of meeting times. Set up appointments for other staff in the department. cancels and resets appointments
Support Admin Assistant IV with reports on Faculty Loads
Purchasing: Order supplies for the office and staff. May create requisitions, invoices, arrange travel, and process expenses
Support and participate in strategic planning initiatives and perform other duties as assigned
Take notes at meetings, department divisions, committees, councils, or external meetings. Sort mail and distribute mail daily. Running reports, formatting PowerPoint presentations with content provided by the Supervisor
Events: Prepare requests to Facilities, Vendors, assist in creating marketing materials, and participate actively in person. Support and participate in strategic planning initiatives and perform other duties as assigned

Required

Office Management Certification AND one year of clerical experience, OR
High School Diploma or equivalent AND two years of clerical experience
May require a valid Driver's License
Knowledge of and ability to interpret, apply, and follow college policies and procedures
Knowledge of or ability to maintain organizational structure, workflow and operating procedures
Skill in current technologies and word processing, database, presentation, and spreadsheet software, specifically Microsoft Office applications, Windows, college system platforms, software and applications especially those specific to the department operations
Skill and ability to be self-directed and to manage one's own time
Skill in performing a variety of duties, often changing from one task to another of a different nature
Ability to complete all departmental and/or institutional mandatory training or development
Ability to organize, prioritize, follow multiple projects and tasks through to completion, with close attention to detail
Ability to work independently and contribute to a collaborative team environment
Ability to provide assistance in a professional and supportive manner
Ability to communicate effectively, verbally, in writing, and in a public setting, and to relate to others in a professional manner
Ability to be flexible and supportive, positively and proactively assimilate change in rapid growth environment
Ability to maintain confidentiality of protected information and follow FERPA guidelines
Ability to adapt to a dynamic workload and demands
Ability to operate relevant equipment required to complete assigned responsibilities for the position
