Responsibilities

Oversee the planning and execution of major events and Trade Shows each year, owning every aspect of an event, from venue choice to success metrics
Keep budgets and timelines under control
Make travel arrangements for individuals, groups, and organizations, including scheduling flights and ground transportation, booking accommodations, and handling any other trip-related tasks
Analyze spend in categories such as airlines, hotels, etc., to identify preferred vendors and negotiate further discounts as spend increases
Develop a complete understanding of the requirements for global events
Research vendors and make selections based on their creativity, quality, and cost
Book venues, schedule guests, review and finalize contracts, and lock down day-of logistics, while complying with all national and local regulations
Develop content for event materials and work our marketing team to produce within compliance
Hire personnel as needed across all functions of an event (e.g., registration, setup, catering, audio/visual)
Handle day-to-day administration of events and programs, including order placements, Banquet Event Order (BEO) reviews, vendor monitoring, travel planning, restaurant reservations, attendee participation, registration counts, RSVP tracking, and issues resolution
Handle corporate travel bookings (flights, hotels, car rentals) and itinerary coordination, using the Navan platform
Develop, implement, and enforce global travel policies that ensure cost-effectiveness and compliance
Collect and analyze travel and event data to identify trends, measure program effectiveness, and inform future strategy
Over time, this position will also manage the Promotional Merchandizing spend category

Required

Experience in event planning or event coordination in a corporate environment providing proactive, concierge level service
Experience working with colleagues in graphic design, sales, marketing, and communications
Highly motivated self-starter, problem solver, team player
Excellent organizational, verbal, and written communication, negotiating, and multitasking skills
Ability to remain calm under pressure and maintain a customer-service mindset
Analytical skills
HS Diploma, Bachelors preferred
5+ years' experience in similar position in global corporate travel and events
Cultural sensitivity, international experience preferred
Established relationships with vendors
Experience in managing budgets and tracking expenses
Proficient with Microsoft Office suite of products
