Intellectual Property Administrative Assistant
Briefly is a support organization under NovaLaw, which runs the back-office operations of a global law firm known for its excellence and innovation. The role of Intellectual Property Administrative Assistant involves supporting intellectual property attorneys and performing various patent and administrative functions in a fast-paced environment.
Responsibilities
Prepare patent prosecution documents for review by attorneys; forwarding documents to client
Prepare documents for filing with USPTO, including organizing for attorney review and uploading to USPTO as directed
Prepare reporting letters as needed for Office Actions and other filings
Create, edit, format and proofread letters, memos, and other documents using Microsoft Word, Excel, iManage, and Adobe Acrobat as necessary
Compose routine correspondence and emails to attorneys and clients, as needed
Assisting in preparation and forwarding of invoices to clients
Upload/download patent-related documents, correspondence, and data to and from client systems
Download documents from USPTO website as needed in conjunction with reporting Office Actions, or as needed for other projects as requested
Acknowledge correspondence, emails, faxes, and other incoming client correspondence as requested
Perform quality control to ensure work products are free from errors or inconsistencies
Coordinate internally with departments and externally with clients, external counsel, and other vendors to obtain and exchange information and documentation related to legal matters
Provide backup secretarial assistance to partners, associates and other legal and administrative staff as assigned
Other administrative tasks and project assistance as assigned
Qualification
Required
Proficient with Adobe and Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
Strong professional communication and interpersonal skills in dealing with all levels of the firm (attorneys, secretaries, administration, and other members of staff)
Strong organizational skills with attention to detail
Ability to prioritize and meet deadlines
The ability to understand and follow oral and written directions
Ability to work independently or as part of a team
Associate Degree from an accredited college or university
Experience with Microsoft Office Suite and Adobe
2+ years of working in a legal office environment
Preferred
Patent Experience Preferred but not required
