Planning & Development Project Manager

Responsibilities

Plan the project
Define the scope of the project in collaboration with senior management
Create a detailed work plan that identifies and sequences the activities needed to complete the project successfully
Determine the resources (time, money, equipment, etc.) required to complete the project and the project's estimated budget
Develop a schedule for project completion that effectively allocates the resources to the activities
Review the project schedule with senior management and all other staff that will be affected by the project activities; revise the schedule as required
Determine the objectives and measures upon which the project will be evaluated at its completion
Organizing the staff and stakeholder selection
In consultation with the Building Operations Manager, recruits all necessary staff and stakeholders with the appropriate skills required to carry out all project activities
Facilitates stakeholders' staff meetings, takes minutes, and summarizes deliverables to ensure stakeholders are organized and remain on task for the duration of the project
Manage project staff and/or volunteers according to the established policies and practices of Ampla Health
Ensure that all project personnel receive an appropriate orientation to the project
Solicit qualified consultants to work on the project as appropriate and present candidates to senior management
Support the oversight of RFP processes for new projects
Assist in implementing the project and ensuring execution aligns with the approved project plan
Develop forms and records to document project activities
Set up files to ensure that all project information is appropriately documented and secured
Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the project
Establish a communication schedule to update stakeholders, including appropriate staff within Ampla Health, on the progress of the project, and prepare progress reports for senior management
Review the quality of the work completed with the project team regularly to ensure that it meets the project standards
Write progress reports on the project for senior management
Monitor all budgeted project expenditures
Monitor cash flow projections and report actual cash flow and variance to senior management regularly
Ensure that all financial records for the project are up to date
Ensure that the project deliverables are on time, within budget, and at the required level of quality
Evaluate the outcomes of the project as established during the planning phase
Provide cross-functional administrative support and demonstrate flexibility by being trained in various Planning & Development functions (i.e. Contract Works, HRSA Electronic Handbooks)
Performs other duties as assigned by supervisor

Required

Proven experience in managing complex projects up to completion is required
Knowledge of project management, timelines, deadlines, and follow-through on finished projects
Proficiency in the use of computers for: Microsoft Office Suite, Microsoft Visio, Microsoft Project Management
Communicate Effectively: Speak, listen, and write clearly, thoroughly, and timely using appropriate and effective communication tools and techniques
Foster Teamwork: Work cooperatively and effectively with others to set goals, resolve problems, and make decisions that enhance Ampla Health's effectiveness
Lead: Positively influence others to achieve results that are in the best interest of Ampla Health
Facilitate Decisions: Provide senior management with all the necessary information to facilitate and expedite decisions
Organize: Set priorities, develop a work schedule, monitor progress towards goals, and track details, data, information, and activities
Plan: Determines strategies to move the projects forward, sets goals, creates and implements action plans, and evaluates the process and results
Ability to communicate well with the public
Must be able to interact with staff and patients courteously and calmly
Must be able to lift up to 40 lbs. and push up to 100 lbs. (on wheels)
Must be able to hear staff on the phones and those who are served in person, speak clearly in order to communicate information to patients, vendors, agencies, and staff
Must have vision adequate to read memos, a computer screen, forms, and documents
Must have high manual dexterity
Must be able to reach above the shoulder level to work, bend, squat, and twist/turn

Preferred

A bachelor's degree in business administration or similar field is preferred, with increased responsibility in project coordination/management experience
