Bilingual Office Assistant
Ultimate Staffing is seeking a Bilingual Office Assistant to serve as the first point of contact for incoming calls and manage various office tasks. The role involves handling correspondence, scheduling appointments, maintaining files, and assisting with travel arrangements.
Responsibilities
Answering phones and directing calls: Serving as the first point of contact for incoming calls and routing them to the appropriate personnel
Managing correspondence: Handling incoming and outgoing mail, emails, and faxes
Scheduling appointments and meetings: Organizing calendars, booking conference rooms, and sending out meeting invites
Maintaining files: Organizing and managing both physical and electronic files
Data entry and record keeping: Entering information into databases and maintaining accurate records
Preparing documents: Assisting with the creation of reports, presentations, and other documents
Ordering and managing office supplies: Keeping track of inventory and placing orders for necessary supplies
Greeting visitors: Providing a welcoming and professional presence to clients and visitors
Assisting with travel arrangements: Booking flights, hotels, and other travel logistics for employees
Qualification
Required
Bilingual proficiency in English and another language
Experience in answering phones and directing calls
Ability to manage correspondence including mail, emails, and faxes
Experience in scheduling appointments and meetings
Skills in maintaining both physical and electronic files
Data entry and record keeping skills
Ability to prepare documents such as reports and presentations
Experience in ordering and managing office supplies
Professional demeanor in greeting visitors
